About the Role
We are seeking a highly motivated and experienced Personal Assistant with a proven track record of supporting senior leaders. This role will provide high-level executive support to three Directors within a growing and dynamic organisation.
The successful candidate will be responsible for managing complex diaries across the Director team, ensuring effective time management through the prioritisation and coordination of requests and commitments. You will play a pivotal role in supporting day-to-day business operations, acting as a key point of contact for the Directors and helping to maintain an efficient, professional, and well-organised working environment.
Key responsibilities include diary management, arranging meetings and visits, drafting correspondence and reports, maintaining business trackers, coordinating travel arrangements, exercising sound judgement when managing competing priorities, and providing a wide range of administrative support.
Main Duties
Executive Support
· Act as the first point of contact for internal and external stakeholders on behalf of the Directors.
· Manage complex and frequently changing diaries, balancing competing priorities and optimising the Directors' time.
· Review, prioritise, and respond to emails on behalf of the Directors where appropriate.
· Prepare agendas, papers, and supporting documentation for meetings.
· Attend and minute formal meetings, ensuring accurate records are maintained.
· Track actions arising from meetings, emails, and verbal requests, ensuring timely follow-up and completion.
Administration
· Maintain administrative systems, records, trackers, and governance documentation across the business.
· Arrange complex travel itineraries, accommodation, and logistics for both UK and international business travel.
· Manage recurring tasks, reminders, and follow-up actions.
· Liaise effectively with internal teams, clients, and external stakeholders.
· Support business development activities, including client follow-ups, maintaining contact databases, and assisting with marketing initiatives.
Essential Skills and Experience
· Previous experience in a Personal Assistant or Executive Assistant role supporting senior leadership.
· Exceptional interpersonal and communication skills, with the ability to engage confidently with a wide range of stakeholders.
· Strong relationship-building skills with both internal and external contacts.
· Excellent written and verbal communication, numeracy, and literacy skills.
· Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
· Ability to handle sensitive and confidential information with discretion and professionalism.
· Excellent organisational skills with a high level of accuracy and attention to detail.
· Strong initiative and the ability to manage multiple priorities in a fast-paced environment.
· Flexible and adaptable approach to work, with the ability to support changing business needs.
· Proactive, resourceful, and capable of working independently.
· Applicants must be eligible to obtain UK Security Clearance (SC).
This is a flexible role that may occasionally require out-of-hours working, including evenings or weekends, in response to urgent business requirements. Time off in lieu or flexible arrangements will be provided where appropriate.
What We Offer
· Salary: £42,000 - £48,000 per annum depending on experience (Including London Weighting Allowance)
· 37.5 hours per week (Monday to Friday), with flexible working arrangements.
· Hybrid working pattern, with 3-4 days per week in our Central London office.
· This is a permanent, full-time position, subject to satisfactory performance during a 3-month probation review and successful completion of a 6-month probationary period.
· 30 days' annual leave plus paid bank holidays.
· Company pension scheme provided with a 3% employer contribution and 5% employee contribution.
