Job Description:
We are looking for an enthusiastic team secretary to join our vibrant team, working alongside the Partners and team members within the Valuation & Advisory Division. You must be able to provide skilled secretarial, administrative and financial support to Partners and their teams, ensuring that a high-quality service is maintained day to day.
Role Purpose:
You will be a key member of a team which currently numbers ** and you will have a proven ability to both work closely in a team structure as well as being self-motivated. Day to day responsibilities will involve all aspects of secretarial, administrative and financial skills in supporting the team and the Partners
Core Responsibilities:
Managing the team’s work in progress schedules whilst maintaining job and fee forecasting records
Oversight of team workflow; through opportunities to pending jobs and completion, ensuring full visibility of income
Managing and ensuring accuracy of records for revenue, both incoming and outgoing payments, domestic and international.
Actioning all new job opening requests for the team and registering new jobs on appropriate systems. Creation and clearance management of conflict check reports and creation of appropriate electronic files
Compliance Management – ensuring accuracy and completeness of all work in progress, at all stages of the job.
Creation of invoices using bespoke systems, to meet strict deadlines.
Monitoring of debtor schedules and co-ordinating and leading on proactive team management of any overdue client payments. May be required on occasion to make Client contact direct.
Preparation of correspondence and formatting reports to a client facing standard, likely to be with the use of bespoke software.
Use of various external databases and research sites to source data, in a quality required for inclusion in client reports. Preparation of the data for interpretation by the valuers
Manipulating data, creation and updating various lists, spreadsheets & schedules using Excel, to a highly proficient level
Co-ordinating meetings & booking meeting rooms
Making travel arrangements for Partners and their teams
Proactive management of team contact databases. Sending invitations to clients for events and logging responses
Assist with additional ad-hoc duties in order to ensure the smooth flow of work through the team and the wider Division.
Processing expenses for team Partners
Attendance and participation in meetings, as required
Providing support and cover for the wider secretarial team across the Division during periods of absence or increased workload.
Core Skills & Experience:
Strong ability to multi-task and to manage conflicting, changing priorities efficiently
Excellent software skills, in particular Microsoft Word and Excel, to a highly proficient standard
Willingness and enthusiasm to undertake training for new initiatives
Aptitude for learning and using various databases and software systems as required
Excellent communication and inter-personal skills
Ability to take ownership of any problems and road-blocks to see through to solution
Willingness to be flexible in order to meet deadlines
Pro-active in ensuring that all team requirements are met
