We are a small, established business entering an exciting period of potential growth and are looking for an exceptionally organised and detail-focused Purchasing & Logistics Coordinator to take ownership of our purchasing, stock planning and day-to-day logistics.
This is a varied role with a high level of autonomy and would particularly suit someone with previous experience in purchasing, logistics, stock control, supply chain or operations who is now looking for a professional part-time position.
The Role
Working under our Business Manager and closely alongside our Warehouse & Fulfilment Operative, you will be responsible for ensuring our purchasing, stock and logistics requirements are effectively planned, coordinated and managed.
Our products can be high-value, oversized and technically detailed and are sourced from manufacturers and suppliers in the UK and overseas. Excellent attention to detail and the ability to confidently interpret product, stock and order information are therefore essential.
We are looking for someone who naturally thinks ahead.
Rather than reacting to unforeseen stock shortages, delayed shipments or other operational issues, you will anticipate upcoming requirements, identify potential problems early and take appropriate action – developing processes, checks and alerts where necessary to prevent avoidable procedural emergencies from occurring.
This isn't a role where you'll simply work through a daily task list. We are looking for someone who will take genuine ownership of their area of the business and proactively manage what needs to happen next.
Purchasing & Stock Planning
Your responsibilities will include:
- Monitoring stock levels and identifying upcoming purchasing requirements
- Planning stock replenishment around supplier lead times and anticipated demand
- Raising and managing purchase orders with manufacturers and suppliers
- Ordering stock, goods and supplies through supplier online portals, email and our Shopify-integrated purchasing and PO systems
- Liaising with manufacturers and suppliers regarding incoming orders, availability and expected delivery dates
- Maintaining accurate records of outstanding purchase orders and expected deliveries
- Coordinating regular stock counts with the Warehouse & Fulfilment Operative
- Monitoring stock-count accuracy and investigating discrepancies
- Ensuring stock information is kept accurate and up to date
- Monitoring packaging materials and arranging replenishment before stock becomes critical
- Managing the processing and recording of seconds, damaged goods and returned stock
- Developing appropriate processes and alerts to help prevent stock shortages and other avoidable issues
Logistics & Deliveries
You will coordinate the movement of customer orders and incoming stock, including:
- Processing customer orders with couriers and arranging collections
- Managing UK and international shipments
- Obtaining and comparing quotations for overseas and unusual shipments
- Coordinating the information and documentation required for international shipments
- Monitoring shipments and proactively identifying potential delivery issues
- Liaising with couriers to resolve delayed, missing or damaged deliveries
- Managing courier claims where appropriate
- Coordinating customer returns to our premises
- Maintaining good working relationships with manufacturers, suppliers, freight and logistics providers, couriers and collection personnel
- Reviewing courier and logistics arrangements to ensure they remain appropriate, efficient and commercially effective
Where a logistics issue affects a customer, you will take responsibility for communicating with them directly and keeping them informed while working towards a resolution.
This could include delayed or missing deliveries, goods damaged in transit or arranging the return of products to our premises.
Warehouse Coordination
You will work closely with our part-time Warehouse & Fulfilment Operative, who is responsible for the physical picking, packing, goods-in and day-to-day organisation of our stock and fulfilment area.
Your responsibilities will include:
- Coordinating priorities with the Warehouse & Fulfilment Operative
- Ensuring customer orders are processed efficiently
- Ensuring incoming stock is checked and recorded correctly
- Overseeing stock-counting processes
- Maintaining clear and effective warehouse procedures
- Ensuring appropriate warehouse Health & Safety procedures are maintained and followed
- Identifying opportunities to improve the way stock and orders move through the business
Improving How We Work
As a small business, we are continually looking for ways to make our processes more efficient and effective.
An important part of this role is therefore not simply maintaining existing systems, but being willing to question whether there is a better way of doing things.
From time to time, you will undertake small research and improvement projects relating to areas such as courier services and costs, international shipping, packaging, purchasing processes, supplier processes, stock management, warehouse organisation and order fulfilment.
We value people who identify opportunities for improvement, research possible solutions and are comfortable making sensible recommendations.
Supporting the Wider Team
We are a small team, so flexibility and good communication are important.
Although this is primarily a purchasing and logistics position, there will occasionally be times when you will support the wider team. This may include answering incoming customer calls when colleagues are on breaks or temporarily away from the phone, as well as assisting with other operational tasks where required.
About You
We are looking for someone who is exceptionally organised, accurate and comfortable taking responsibility for their own area of the business.
You don't necessarily need to have followed one particular career path, but you will ideally have previous experience in purchasing, logistics, stock control, supply chain, operations or a similar environment.
Most importantly, you will have a proactive and pre-emptive approach to your work.

The ideal candidate will be:

- Highly computer literate and quick to learn new systems
- Confident using online portals and digital business systems
- Confident communicating professionally with customers, suppliers and logistics providers

- Commercially aware when comparing shipping, supplier and purchasing options
- Comfortable managing several ongoing requirements at once
- Naturally proactive rather than reactive
- Able to develop simple systems and processes that prevent recurring problems
- Curious about how processes can be improved
- Comfortable working within a small team where responsibilities sometimes overlap
Experience with Shopify, purchasing or inventory management systems, courier platforms or international shipping would be advantageous, but training can be provided where required.
Hours
This is a permanent, part-time position working:
Monday, Wednesday and Friday
9:30am–2:00pm
13.5 hours per week
The position is based at our Cirencester premises.
The working pattern has been deliberately designed to be compatible with school hours and may particularly suit an experienced professional looking to return to work or seeking a better balance than a conventional full-time role.

There is therefore potential for this position to expand in both hours and responsibility in the future.
We would particularly welcome applicants who are looking for a part-time position now but who may be interested in increasing their hours over time as the role and business develop.
Any future increase in hours would be discussed and mutually agreed.
Salary
£20.00–£21.50 per hour, depending on experience
Equivalent to approximately £14,040–£15,093 per annum based on the current 13.5-hour working week.
