Carmel Jane Photography are one of the UK’s leading school photographers, leading the way in best-in-class school photography, headshot photography and dance photography, with an open plan office and on site parking set in the countryside between Brentwood and Chelmsford in Essex.
The role
We are looking for a confident, super organised relationship builder as the main point of contact for a dedicated pool of school clients, ensuring every booking runs smoothly from initial enquiry through to delivery of final images. The role focuses on building strong relationships, understanding the needs of each client and making them feel valued and supported. Accuracy, service, quality and working closely with internal teams to deliver an excellent experience for schools and staging clients is also paramount.
This is a full time, office based role, working 8.30am to 5pm, Monday to Friday, although we are open to offering some flexibility with the working hours.
Key responsibilities
- Act as the primary point of contact for school bookings received from the sales team, checking that all booking details are complete, accurate, and clearly recorded for the client
- Introduce yourself as the point of contact where possible face to face or via a Teams call, phone call or email
- In collaboration with the Photography Manager, review each job to ensure the remit is achievable, deliverable, and appropriately resourced
- Use the CRM system to manage the full lifecycle of each booking, following defined workflows for confirmations, data requests, and pre- and post-shoot calls
- Maintain accurate and comprehensive records in the CRM in line with company guidelines, ensuring information is up to date and easily accessible
- Liaise regularly with the in‑house production team to ensure that the quality of images and products meets the company’s high standards
- Proactively obtain or chase any missing information from schools (for example class lists, contact details, or schedule changes) to keep jobs on track
- Monitor feedback from the Customer Services team for all clients within your portfolio, ensuring you are aware of any issues raised by parents or schools
- Confidently contact schools to inform them of any concerns or issues, making sure they remain fully updated and involved in resolving them
- Respond promptly to feedback or complaints from your school clients, investigating thoroughly with internal teams and working towards a satisfactory conclusion
- Ensure all data handling, processing and storage strictly comply with GDPR regulations and internal company compliance standards
- Regularly check‑in with your clients (by phone, email or online meetings) to build strong, long‑term relationships and understand their needs
- Proactively research client websites for important information, diary details, potential opportunities
- Request testimonials and structured feedback from clients to help measure service quality and identify improvements
- Identify and take appropriate opportunities to upsell additional or alternative services that may benefit the school
- Take responsibility for securing repeat bookings from all clients in your portfolio
- Work closely with the Photography Manager to ensure all job instructions and schedules are accurate, detailed and aligned with client expectations
- Collaborate effectively with colleagues across sales, photography, production and customer service, demonstrating a strong team‑player approach
- Assess viability of ad hoc requests from schools such as proms, events etc, in collaboration with Photography Manager and GM
- Ensure any jobs to be invoiced are clearly communicated to the Accounts Department
- During peak season be available to take emergency out of hours calls from clients as needed
About you
- Strong commitment to providing excellent service to a defined pool of clients and taking ownership of their experience
- Interrogate the details and accuracy of each booking, from client information through to booking instructions
- Curiosity to understand clients’ requirements, timetables & opportunities for the future
- Confident communicator (written and verbal), able to build rapport with schools and internal teams
- Happy to make in person visits to schools to meet contacts, so need to have own transport and be able to drive
- Comfortable using CRM systems and following structured processes, with good general IT skills
- Proactive, organised, and able to manage multiple bookings and client relationships at the same time
- Positive, collaborative approach and willingness to support colleagues throughout the business to achieve shared goals
- Flexibility and ability to work confidently and efficiently during busiest months of the season
