Fixed Term - Full Time (12 months)
37.5 hours per week: Monday to Thursday: 08:30-17:00, one hour lunch and Friday 08:30-16:30 with half hour lunch
We are looking to recruit a Fleet Administrator to join our team based in Leeds, West Yorkshire. This is a fantastic opportunity for an organised and detail-oriented administrator to play a key role in supporting the day-to-day management of our fleet administration.
About the Role
Working within the HR team, but closely with the Fleet Manager, you’ll ensure the administration of the fleet is managed accurately within required timescales.
Main duties include:
Maintain accurate fleet records by continual update of the fleet list and system, including weekly & monthly reconciliations
Administration of Fleet Fines, working closely with Payroll to reallocate costs
Updating Auto Pay Systems for Congestion Charging, Tolls, and Clean Air Zones in a timely manner to avoid penalties
Update Parking accounts and reconcile on a monthly basis
Monitor and maintain the licence check database, flagging any concerns to the Fleet Manager
Creating Purchase Orders for vehicle related repair costs, updating log and reconciling with any outstanding invoice queries from Suppliers
Ordering & cancellation of fuel cards including monthly reconciliation
Managing the fleet email inbox and responding to queries promptly and professionally
Communicating with employees and suppliers via telephone and email on a regular basis
About You
We’re looking for an organised proactive individual who has worked in a fast-paced environment, delivering a high standard of administrative support.
You’ll have previous administration experience, ideally within a fleet environment. You will be highly organised, able to manage a busy and varied workload, and comfortable working with accuracy and attention to detail. Strong communication skills are essential, as you will be liaising with colleagues and stakeholders across the business. You will also have good working knowledge of Microsoft Office applications, particularly Excel and Word, and be confident using these tools to maintain records, reconcile data and produce accurate documentation.
