We are seeking an experienced and passionate Special Educational Needs (SEN) Support Administrator to lead and enhance inclusive practice across our apprenticeship programmes.
This is an exciting opportunity to make a real difference to learners by ensuring they receive the support, guidance and adjustments needed to achieve their full potential.
About the Role
You will provide high-quality administrative support to the Safeguarding, Welfare & SEND Officer (SW&SO) and wider Inclusion Team, ensuring efficient management of SEND records, statutory processes and communications. The postholder will also undertake Higher Level Teaching Assistant duties, including delivering targeted interventions, supporting learner progress and contributing to the planning, implementation and review of SEND provision. The role is key in ensuring that learners with SEND receive effective support that enables them to achieve their full academic, social and emotional potential.
Key Responsibilities
SEN Administration
SEND Record Management
- Maintain accurate and confidential SEND records and databases.
- Update and monitor Education, Health and Care Plans (EHCPs), SEND Support Plans and provision maps.
- Ensure learner records comply with GDPR and apprenticeship programme policies.
- Track and record SEND assessments, interventions and outcomes.
Annual Reviews and Statutory Processes
- Coordinate EHCP annual reviews, including scheduling meetings and preparing documentation.
- Collate reports and evidence from staff, external agencies and parents/carers when required.
- Monitor action points arising from annual reviews and SEND meetings.
Communication and Liaison
- Act as a key point of contact for SEND enquiries.
- Liaise positively with parents, carers, trainers, area coaches, and external agencies.
Data Management and Reporting
- Produce reports relating to SEND provision, interventions and learner outcomes.
- Monitor key SEND performance indicators.
- Assist with SEND-related data submissions and enrolments.
- Support preparation for Ofsted inspections and local authority reviews.
HLTA Responsibilities
Learning Support
- Co-ordinate and support planned interventions for individual learners working with trainers and area coaches.
- Support learners with SEND to access the whole curriculum.
- Provide targeted support to improve literacy and numeracy where required
Teaching and Learning
- Plan and deliver agreed learning activities under the direction of the SW&SO.
- Adapt resources and learning materials to meet individual needs.
- Assess and record learner progress within intervention programmes.
- Provide and co-ordinate feedback to trainers, area coaches and the SW&SO on learner achievements and next steps.
Training Room Support
- Provide in-class support where required chiefly in Functional Skills lessons.
- Support inclusive classroom practice.
Safeguarding and Welfare
- Promote and safeguard the welfare of children / young people and adult learners.
- Follow the academy safeguarding, child protection and behaviour policies.
- Participate in safeguarding and SEND training as required.
- Maintain confidentiality whilst ensuring appropriate information sharing.
General Responsibilities
- Actively support the academy's and apprenticeship programme’s vision, values and ethos.
- Participate in staff meetings, training and professional development activities.
- Contribute to a positive, inclusive and supportive academy environment.
- Undertake other duties commensurate with the grade and nature of the post.
About You
Essential
- GCSE Grade C/4 or above in English and Mathematics (or equivalent).
- Administrative qualification or substantial administrative experience.
- TA3 / HLTA qualification (or willingness to work towards HLTA status).
- Evidence of ongoing professional development.
- Experience working in a school or college environment, including supporting pupils with SEND.
- Experience maintaining accurate records, managing databases, and liaising with parents and external agencies.
- Knowledge of the SEND Code of Practice, EHCP processes, safeguarding requirements, and barriers to learning affecting pupils with SEND.
- Previous HLTA experience, or experience in a similar support role.
- Excellent organisational, communication and workload management skills, with the ability to meet deadlines.
- Proficient in Microsoft Office, school management systems, and the analysis and presentation of data.
- Ability to work collaboratively as part of a multidisciplinary team.
Desirable
- Experience coordinating annual reviews.
- Experience working with external SEND professionals and agencies.

Salary & Benefits: Circa £30,000 dependant on experience, Company Car, 26 Days Annual Leave, Calex Employee Benefits Packages (Inc Private GP and Healthcare Services, High Street Discounts, Discounted Gym Memberships and on Demand 24 Hour Wellbeing Service (Counselling and Advice), Life Assurance, Pension, optional private Healthcare cover.
Contract: Permanent / Full Time
Working Hours: Monday to Friday / 40 hours per week
