Job description:
We are seeking a highly organised, proactive, and discreet Executive Personal Assistant to provide comprehensive administrative and strategic support to the Directors. The successful candidate will play a critical role in ensuring the smooth day-to-day management of executive operations, enabling the Directors to focus on strategic priorities and business growth.
This role requires exceptional organisational skills, sound judgement, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities Executive Support
- Provide full confidential PA support to the Directors
- Manage complex diaries, scheduling meetings, appointments, and travel arrangements
- Screen and prioritise emails, calls, and correspondence
- Prepare agendas, presentations, reports, and briefing documents
- Take minutes and track follow-up actions where required
Operational & Administrative Management
- Coordinate internal and external meetings, including logistics and documentation
- Act as liaison between Directors and internal departments or external stakeholders
- Manage expenses, invoices, and basic financial administration
- Maintain accurate records and filing systems (digital and physical)
- Assist in project coordination and ensure deadlines are met
Communication & Stakeholder Management
- Draft professional correspondence on behalf of Directors
- Build and maintain strong relationships with key clients, partners, and stakeholders
- Handle sensitive information with the utmost discretion
Strategic & Business Support
- Conduct research and compile data to support decision-making
- Support business initiatives and special projects
- Monitor key tasks and proactively follow up on outstanding matters
Key Skills & Competencies
- Proven experience as an Executive PA, Personal Assistant, or similar senior administrative role
- Exceptional organisational and time-management skills
- Strong written and verbal communication skills
- High level of discretion and confidentiality
- Ability to work independently and use initiative
- Strong attention to detail
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to manage competing priorities under pressure
