We take pride in the strong relationships we build, both with the brands we represent and the diverse channels we sell into. We are looking for a highly organised and proactive Buying Administrator to support our busy Buying team in a fast-paced FMCG environment.
The Role
The Buying Administrator plays a vital role in supporting the Buying Team and ensuring the efficient day-to-day operation of the purchasing function. Working closely with Buyers, suppliers, sales teams, and warehouse colleagues, you will help ensure products are sourced, ordered, and delivered efficiently while maintaining accurate system information and excellent supplier relationships.
This is a fast-paced and varied role where organisation, attention to detail, and strong communication skills are essential. You will provide administrative support throughout the purchasing process, from raising purchase orders and maintaining product information to monitoring deliveries and resolving supplier queries. Your contribution will help ensure stock availability, support business growth, and enable the Buying Team to deliver exceptional service to both internal and external customers.

Key Responsibilities:
Buying Administration
- Provide comprehensive administrative support to the Buying team.
- Create and maintain product records within Business Central.
- Raise purchase orders accurately and in a timely manner.
- Monitor purchase orders from placement through to delivery.
- Maintain accurate supplier pricing, cost prices and promotional information.
- Process new line forms, product amendments and discontinuations.
- Create product offers to send to the Sales Team
- Create Indata Offers to market products
Supplier Management
- Act as a point of contact for suppliers regarding orders, pricing and delivery schedules.
- Resolve supplier queries promptly and professionally.
- Monitor supplier performance and communicate any issues to Buyers.
- Request and maintain product specifications, images and expiry date information.
Stock & Supply Support
- Assist with stock availability reporting.
- Monitor outstanding orders and expedite deliveries where required.
- Support Buyers in minimising stock shortages and overstock situations.
- Liaise with warehouse, logistics and supply chain teams to ensure timely deliveries.
Data & Reporting
- Produce weekly and monthly reports for Buyers.
- Maintain accurate product and supplier databases.
- Analyse sales, stock and pricing information to support buying decisions.
- Assist with forecasting and promotional planning.
Cross-Functional Support
- Work closely with Finance regarding invoice discrepancies and supplier payments.
- Liaise with Sales Support to ensure Supplier deliveries are made in accordance with Customer despatch dates.
Key Skills & Experience Essential
- Previous administration experience within a busy and fast paced environment
