GSS Training are one of the leading safety training providers in the UK, training thousands of delegates per year in multiple qualifications since 2006. We are heavily involved in the Construction, Engineering, Quarrying, Food and Petrol industries. We are seeking an experienced Customer Service Administrator / Invigilator to join our small team in Trafford Park, Manchester (M17 1AY) on a permanent basis.
We are looking for good communicators and listeners who take pride in their work. You need keen attention to detail and a good level of written and spoken English.
You will need to be well organised and flexible so that you can easily adapt to different types of customer queries. You will need to be a self-starter who is motivated and determined. You will need to become an expert in the training that we deliver so that you can easily assist the customer with the service that they require.
Daily duties will include:
· Taking calls and handling customer queries
· Making bookings and taking payments
· Working with various IT systems and ensuring that all records are correctly updated and maintained
· Managing online bookings and user management on the company website
· Supporting the training team
· Data input whilst processing courses on our own system and uploading these details onto awarding body websites
· Notifying awarding bodies and portals of our course dates and keeping both updated as course information changes
· Chasing and sending out certificates and safety passports
· Stock control
· Using word, excel (for data entry), emails, Sage and awarding body systems (for data entry)
· Using Sage for a number of accounts functions
· Other ad hoc administrative duties
· Multi-tasking between all of the above
Invigilator duties will include:
· Going through documentation with delegates before the session
· Going through a quick five-minute presentation with delegates to let them know what to expect during their test
· Invigilating the computer test
· Being responsible for helping delegates to get logged in to the testing system – we will train you in the system before you invigilate any computer tests – we want you to feel comfortable with the system and you will have shadowed another invigilator multiple times so that you know how to deal with all eventualities
· Enforcing strict exam procedures during the exam
· Dealing with any IT queries such as loss of internet or the camera system going down – full training will be given on this
Hosting and online training support duties will include:
· Assisting trainers with logging in to Microsoft Teams/Zoom when they deliver online tutor-led courses
· Calling delegates who don’t know how to log on or get disconnected from Microsoft Teams/Zoom and assisting them with logging in
· Ensuring that delegates are all present and paying attention during the course
· Checking delegates in at the start of an online course
· Sending emails to delegates with invites to the online training
· Emailing delegates with the link to the exams during the course
· Ensuring that all delegates are adhering to exam procedures
· Other ad hoc support duties for our online courses where required
Occasional duties may include:
· Assisting with quality management including checking course paperwork and analysis of delegate feedback and trainer performance
· Assisting with marketing duties as this department develops
· Any other ad hoc duties that are required within the administrative/accounts function
· Potentially visiting our other venues for quality management
Essential requirements:
· Excellent verbal and written communication skills
· A confident and pleasant telephone manner
· Flexible and willing to learn
· Good IT skills with the ability to pick up new systems quickly and problem solve IT issues
· Familiarity with Sage
· The ability to multi-task
· Good time management
· Attention to detail
· Must be a problem solver
· Must be able to drive
Nice to have:
· Previous administration experience
· Prior invigilation experience is not required for this role but would be welcome if you do have this
Hours on days where you aren’t invigilating: Monday to Friday 08:00 -16.30.
Hours on days where you are invigilating: any day Monday to Friday 07:30 – 16.00.
The salary is £27,500 a year with 25 days annual leave plus Bank Holidays – we do ask that you take the period between Christmas and New Year off using your annual leave. We offer a 3% contribution to your pension scheme and also life insurance.
