Overview
We are looking for a highly organised and customer-focused individual to join our team. In this role, you will deliver a professional, attentive, and efficient service to both clients and customers, ensuring a consistently positive experience across all interactions.
You will be responsible for managing enquiries, resolving issues, processing orders, and supporting operational processes, all while representing the company in a polite and professional manner.
Duties
- Manage incoming and outgoing calls and emails, responding to client and customer enquiries including:
- Order status, deliveries, pricing, and stock availability
- Obtaining Proof of Deliveries (PODs) across all channels
- Liaise with internal departments (Finance, 3PL, Wholesale, Hospital divisions) to resolve issues relating to orders, collections, and deliveries
- Proactively notify customers of failed deliveries or delays
- Build and maintain strong working relationships with carriers and suppliers
- Utilise operational systems (WMS, TMS, QMS) to manage requests and provide administrative support
- Handle and process claims relating to shortages, damages, or misdelivered goods, including:
- Coordinating returns and stock checks
- Communicating with customers and warehouse teams
- Managing carrier claims and recall uplifts
- Investigating discrepancies, lost, or mislabelled orders
- Maintain accurate records and update systems to track claims and resolutions
- Raise manual orders and arrange uplifts as required
- Review and amend electronically received customer orders, ensuring deadlines are met
- Manage documentation including scanning, checking, and filing delivery paperwork
- Provide general administrative support across internal teams
- Ensure the safe handling and movement of pharmaceutical products throughout the supply chain
- Complete all required training and updates
- Contribute to a collaborative team environment across the wider business
- Ensure all operations comply with Good Distribution Practice (GDP) standards

- Confident using Microsoft Office and internal systems (training provided)

- Team player with a proactive approach
- GCSE Grade C/4 or above (or equivalent) in Maths and English
Desirable:
- Minimum 2 years’ experience in a similar role
- Experience with WMS and ERP systems
