We are looking for an organised, motivated, and detail-oriented Office Administrator to join our growing team. This is a busy and varied role within a fast-paced legal environment, where you will support our solicitors and ensure the smooth running of the office. No two days are the same, and you will be expected to undertake a wide range of administrative duties.
Key Responsibilities:
- Answer telephone calls professionally and provide a high standard of customer service to clients and other professionals.
- Liaise with clients by telephone and email, responding to routine enquiries and providing updates where appropriate.
- Liaise with hospitals, healthcare professionals, the Mental Health Tribunal Service, and other external organisations regarding appointments, hearings, reports, and documentation.
- Manage and maintain both electronic and paper filing systems, ensuring files are organised, complete, and easily accessible.
- Utilise our case management system to open, update, and progress client files.
- Prepare, print, and file legal documents accurately and efficiently.
- Process incoming and outgoing correspondence, ensuring documents are correctly recorded and filed.
- Monitor case deadlines and assist with administrative tasks to ensure work is completed within required timescales.
- Maintain strict confidentiality when handling sensitive client information.
- Provide general administrative support to solicitors and the wider team.
- Undertake any other reasonable administrative duties required to support the effective running of the office.
Skills and Experience
- Previous administration experience is desirable but not essential.
- Legal administration experience would be an advantage, although full training will be provided.
- Confident using Microsoft Office and basic IT systems.
- Experience using case management systems would be beneficial.
- Excellent written and verbal communication skills.
- Professional and courteous telephone manner.
- Strong organisational skills with the ability to manage multiple tasks in a busy environment.
- Ability to work independently as well as part of a team.
