We are looking for a reliable and organised Administrative Assistant to join our transport office team. This role provides administrative support to ensure the efficient day-to-day operation of the office and transport functions. The successful candidate will work closely with office staff, drivers, customers, and suppliers to maintain accurate records and provide excellent customer service.
Key Responsibilities
● Answer incoming telephone calls and email enquiries professionally and direct them to the appropriate person.
● Maintain accurate electronic and paper filing systems.
● Perform data entry and update company records and databases.
● Schedule appointments, meetings, and coordinate calendars where required.
● Prepare correspondence, reports, and other business documents.
● Assist with invoicing, billing, and basic bookkeeping duties using QuickBooks or similar software.
● Support transport operations by maintaining transport documentation and updating schedules.
● Monitor office supplies and place orders when required.
● Provide general administrative support to management and other team members.
● Ensure confidentiality and compliance with company policies and data protection requirements.
Essential Requirements
● Previous administrative, office, customer service, or clerical experience.
● Good IT skills, including Microsoft Office (Word, Excel, Outlook) and Google Workspace.
● Strong organisational skills and the ability to manage multiple tasks effectively.
● Good written and verbal communication skills.
● Accurate data entry and attention to detail.
● Professional telephone manner.
● Ability to work independently and as part of a team.
Desirable Requirements
● Experience within a transport, logistics, or haulage environment.
● Experience using QuickBooks or similar accounting software.
● Knowledge of transport documentation and office procedures.
Language Requirement
The successful candidate will be required to communicate regularly with Punjabi-speaking drivers, customers, and stakeholders as part of the role. Therefore, the ability to speak Punjabi and English is required for this position as an occupational requirement directly related to the duties of the role.
