Bi-Fold Rolfe Ltd were established in 1966 and we are the South of England's leading independent industrial door company, specialising in the repair, maintenance, installation, and manufacture of all types of industrial, commercial, automatic, and retail door systems.
SUMMARY OF ROLE
The company expects high standards of quality, workmanship, health and safety and environmental management and you will be responsible for monitoring, managing, and supporting its achievement. We are seeking a conscientious, enthusiastic, and experienced Service Coordinator/Scheduler with a can-do attitude and flexible approach.
YOUR PURPOSE
To Support the management team in the delivery of a comprehensive and efficient repairs/installation service to our customers through our job management software (Job Logic). Overseeing and scheduling the workload of engineers/sub-contractors by organising work through the relevant processes to maximise the efficiency of resources to meet defined key performance indicators.
KEY RESPONSIBILITIES
· Deal with engineers both face to face and via phone/email communications
· Raise repairs via email/phone.
Update customer portals in line with agreed KPI'S
· Record engineer absence and annual leave on the job management system.
· Reschedule jobs in the event of an unplanned absence of an engineer
· Communicate any changes / updates directly with the affected customers and staff members concerned.
· Monitor and managing engineers’ diaries to maximise productivity.
· Dispatch engineers in line with customer required kpi’s and completed by target dates.
· Ensure that Toolbox talks, and training dates are logged on Job Logic, ensuring the engineers have attended when required.
· Receive and deal with any engineer issues regarding access and job information.
· Receive and deal with any customer issues and escalate to the relevant supervisor /manager when required.
· Treat customers with respect, demonstrating a courteous manner, escalating if an issue cannot be resolved.
· Escalate to the management team any serious events or occurrences that need to be addressed urgently and highlight key issues or trends that could affect service delivery performance longer term if not addressed.
SKILLS REQUIRED
· Able to multi-task and prioritise workloads.
· Able to operate in a changing and evolving environment and enjoy the challenge.
· Possess interpersonal skills and ability to communicate at all levels in a professional manner being able to challenge and be challenged.
· Have an organised approach to work and time management.
· Able to use MS office, Outlook, Excel, and Bi Fold Rolfe’s Job Management software to an intermediate level.
· Be a team player by understanding what it is to be part of a team sharing experiences and learning.
· Be able to self-manage and be self-motivated, prioritising work and have a desire to solve problems and eliminate waste.
EXPERIENCE
· Proven previous experience in a resourcing/scheduling role, preferably in the Automatic Door/Industrial door industry.
· Job Logic Management Software (Desirable)

HOURS
Mon-Friday 08:00 to 17:00 with a 30 minute lunch.
