About Kentwell Hall
Kentwell Hall is a beautiful historic house in Long Melford. As well as regular house opening, Kentwell is renowned for its special large-scale events including costumed historical recreations and the award-winning Scaresville in the autumn.
Job purpose
You will be responsible for ensuring the effective operation of the Kentwell Tearoom/Grill & associated catering outlets, including supervising staff, stock management, sourcing & ordering quality produce, preparing high quality food and providing excellent customer care.
The role is varied and challenging, it is hands-on as well as supervisory, from homemade food for our visitors to evening meals for our volunteers for evening, weekend and week-long events.
Main Duties
Procedures
· Be responsible for the smooth running of the Tearoom
· Ensure that the Tea Room, Stableyard & Tea Garden are set up for service
· Manage setting up and closing down of the Tearoom/Grill each day, ensuring all set up and close down checks are performed and documented
· Ensure the daily and weekly cleaning schedules are completed to a high standard
· Ensure the Tearoom areas are secured at the end of the working day
Staff
· Organise and manage staff rotas, to ensure appropriate staffing levels, taking into account advance bookings, special events, group bookings, staff holidays and illness.
· Ensure all staff have current Food Hygiene certificates and training
· Ensure that training records are kept up to date and properly stored
· Supervise Tearoom personnel in their work.

· Inform KW Management of any staffing problems, including staff not carrying out duties, being late, illness etc.
· Identifying pinch points during service and adjusting staff rotation in real time during extremely busy periods
H&S
· Ensure all relevant Health and Safety policies and legislation is adhered to
· Ensure that Food Safety standards are maintained and documented
· Ensure that the Kitchen and Tearoom areas are kept tidy and clean, including clearing of tables, floors and waste
· Attend training as appropriate, including Food Hygiene and Health & Safety training, First Aid and refresher training as appropriate.
Ordering/stock
· Ensure adequate stock levels of ingredients, produce, drinks, crockery, cutlery, disposables and cleaning products to maintain the daily menu and ensure good running of the Tearoom
· Order food, beverages and cleaning products at competitive prices in consultation with Kentwell Management where necessary
· Carry out regular stock takes and reconciliation
· Ensure stock awaiting sale is kept at optimum condition and wastage is minimised and recorded
· Supervise deliveries, including the checking of delivery notes and verification of delivered goods
Planning menus, prep & cooking
· Plan and cost suitable menus, including seasonal variations & themed days
· Ensure provision of good quality food on a daily basis
· Prepare and cook whatever is necessary to maintain the daily menu, or supervise staff to do so
Customer Service
· Be professional, polite and well-presented whilst providing and maintaining excellent
· customer care at all times
· Provide a friendly and efficient service to customers and ensure that all staff do likewise
· Ensure that food and drinks are of the highest standard
· Ensure that food served is attractively presented
Equipment/supplies
· Ensure the coffee machines and other equipment are in good working order, are maintained on a regular basis and that staff can operate them safely and well
· Notify KW Management of any damage/breakages
Financial
· Ensure all staff adhere to current KW financial policies
· Ensure staff are trained on EPOS system/operations
· Implementing agreed EPOS and pricing updates
· Ensure that cash is stored safely, and a ‘float’ is available every day
· Inform KW Management of any financial issues that arise whilst working in a timely manner
· Report on a weekly basis, or as otherwise agreed, to KW Management on all relevant issues or general concerns
· Ensure any cash expenditure for provisions for the Tearoom is covered by a receipt

All staff are expected to abide by relevant UK legislation as well as Kentwell Polices.
Person Specification
· Previous experience supervising or managing staff in a busy café, coffee shop or hospitality environment
· Motivated and well organised with the ability to train, guide and lead other staff members
· Knowledge of Food Hygiene, Health and Safety regulations and their application in a café / kitchen
· Level 3 Food Hygiene Certificate preferred, or willingness to train & achieve
· Experience of menu planning and costing preferred
· Knowledge of good customer care practice and experience of working in a customer focused environment
· Flexible to cover and meet the needs of the service, with a willingness to work outside of normal working hours as required
· Organised, proactive and adaptable to the needs of the business
· Happy to get involved wherever needed to support the wider operation
· Excellent interpersonal and communication skills
