Position Overview
We are seeking an experienced and polished Senior Dental Receptionist to support our Reception Manager in the daily operations of both front and back office reception teams.
This is an ideal opportunity for a receptionist from a private practice background who is ready to step into a supervisory, “right-hand” role — taking ownership of team performance, operational standards, and patient experience.
You will lead by example, delivering exceptional service while coaching and supporting the reception team to consistently meet and exceed performance expectations.
Reporting directly to the Reception Manager, you will play a key role in driving standards, improving efficiency, and fostering a positive, high-performing team culture.
Key Responsibilities
- Support the Reception Manager in the day-to-day running of front and back office reception operations
- Deliver a premium, high-end patient experience, ensuring consistency across all touchpoints
- Lead by example in professionalism, efficiency, and presentation
- Supervise and support reception staff, resolving queries and issues in real time
- Act as the first point of escalation for complex or sensitive patient enquiries and complaints
- Ensure all daily reception tasks are completed accurately, efficiently, and on time
- Monitor appointment diaries, ensuring optimal utilisation and minimal gaps
- Identify performance gaps and retrain team members in key pressure areas
- Conduct regular team huddles and briefings to communicate updates and priorities
- Provide clear, constructive, and real-time feedback to support team development
- Assist with the training and onboarding of new reception team members
- Carry out audits of reception processes and report findings to the Reception Manager
- Liaise with clinicians and management to ensure smooth patient flow and communication
Performance & Contribution
- Support strong diary management and booking efficiency
- Contribute to improved patient retention and rebooking rates
- Monitor and support individual and team KPI performance
- Drive high standards in front-of-house presentation and service delivery
- Identify opportunities for continuous improvement in processes and patient experience
Skills & Experience
- Minimum 3 years’ experience in a dental reception role (essential)
- Experience within a private or high-end practice (highly desirable)
- Previous supervisory or leadership experience (preferred, not essential)
- Experience using SOE / Exact software (desirable)
- Strong understanding of reception operations and patient journey management
