The Customer Service Assistant will be based within our facility at Southfield Industrial Estate, Glenrothes and will provide general administrative and operational support to the Customer Service Department. The role is responsible for a variety of office-based tasks, supporting the customer service team, maintaining accurate records and document management. Assisting with departmental processes, this position is intended as a developmental role, providing opportunities to broaden skill, take on additional responsibilities, and with a view to further progression within the growing department.
- Process of purchase requisitions via M1 (our internal ERP System) for authorisation.
- File approved orders and scan copy of requisition within ERP system. Send to supplier if requested.
- Assist with customer enquiries and issuing of quotations and processing sales orders
- Responsible for the filing and scanning of requisitions, ensuring all documents are stored correctly.
- Accurately update IPR (Inward Processing Relief) monthly spreadsheets for bill of discharge/HMRC Account.
- Maintain sufficient stationery stock levels setting a minimum/maximum level, re-order point and create/update inventory list.
- General office duties including filing (electronic and paper), archiving and shredding customer paperwork.
- Document Management – capturing, storing, filing physical customer service paperwork to assist in creating an organised secure and centralised, searchable digital system.
- Receive/log all incoming telephone calls and distribute to appropriate person/department.
- Operation of company Tannoy/paging system when required.
- First point of contact for all visitors/contractors to the facility offering a professional and friendly welcome.
- Open any non-confidential/personal mail. Distribute all mail to relevant persons/department.
- Any other duties associated with the Department as requested by the Customer Service Manager.
Additional Details: -
- Dayshift hours - 36 hours per week.
- Mon-Thu 8.45am - 5pm, Fri 9am-2pm
- Pension provided by AEGON above government minimum contribution.
