Onsite Recruitment Coordinator - Financial Services
London - 3-4 days a week in the office
The Recruitment Coordinator plays a critical role in delivering a high-touch, white-glove recruitment support service for Front Office Banking & Markets hiring. Acting as a trusted partner to recruiters, hiring managers, candidates, and external vendors, this role is responsible for managing complex recruitment administration activities across the full hiring lifecycle, with a particular focus on senior and executive-level hires.
Working closely with Front Office recruitment teams, the Recruitment Coordinator oversees priority offer management, contract generation for senior hires, international transfers, onboarding activities, agency payment administration, and candidate care. As a key point of contact for stakeholders, the role ensures a seamless recruitment experience through proactive communication, process expertise, and exceptional attention to detail.
In addition to managing complex recruitment processes, the role provides guidance and support to junior team members, oversees the quality and accuracy of team outputs, and contributes to continuous improvement initiatives that enhance operational efficiency and service delivery. This position requires strong stakeholder management skills, the ability to handle sensitive and confidential information, and a commitment to delivering an exceptional recruitment experience for both candidates and hiring teams.

Provide high-quality recruitment administration support across the end-to-end hiring lifecycle, ensuring a seamless experience for candidates, recruiters, hiring managers, and external partners.
Act as the primary point of contact for recruitment administration queries, delivering a responsive, professional, and client-focused service.
Manage complex and high-priority recruitment activities for Front Office Banking & Markets hiring, including senior and executive-level appointments.
Coordinate and oversee interview scheduling across multiple stakeholders, ensuring an efficient and positive candidate experience.
Support offer management activities, including the preparation and administration of contracts for senior hires, priority offers, and Managing Director-level appointments.
Administer and coordinate domestic and international employee transfers, ensuring all associated processes are completed accurately and within agreed timelines.
Manage onboarding activities and pre-employment screening processes, liaising with candidates and vendors to ensure timely completion.
Maintain accurate candidate, requisition, and hiring data within the Applicant Tracking System (ATS) and other recruitment systems.
Process and monitor agency payments and invoice administration, ensuring accuracy and compliance with agreed processes.
Build and maintain strong relationships with recruiters, hiring managers, vendors, and key stakeholders, providing proactive updates throughout the recruitment process.
Provide first-line support for escalations, resolving issues efficiently and ensuring stakeholders remain informed of progress and outcomes.
Produce accurate reports, metrics, and recruitment trackers, ensuring deadlines and service level agreements are consistently met.
Support the continuous improvement of recruitment processes, documentation, and operational procedures to enhance efficiency and service delivery.
Provide guidance, support, and training to junior team members, acting as a buddy and sharing best practice across the team.
Oversee work allocation and review the quality and accuracy of outputs completed by Recruitment Coordinators and Senior Recruitment Coordinators.
Identify opportunities for process improvements, operational efficiencies, and enhanced stakeholder experience, actively contributing to team projects and initiatives.
Embrace and champion new technologies, process changes, and system enhancements to support effective recruitment delivery and continuous improvement.
Previous experience in recruitment coordination, recruitment administration, talent acquisition operations, or a similar recruitment support role.
Experience working within financial services, banking, or a fast-paced corporate environment is highly desirable.
Exposure to Front Office hiring environments would be advantageous, with an understanding of the pace, complexity, and stakeholder expectations associated with these business areas.
Proven experience managing recruitment administration across the end-to-end hiring lifecycle, including interview scheduling, onboarding, and candidate management.
Strong experience in offer management and contract generation, including handling complex, senior-level, and time-sensitive offers.
Experience supporting senior stakeholders and managing recruitment activities for executive or leadership-level hires.
Demonstrated ability to build credibility and maintain effective working relationships with recruiters, hiring managers, HR teams, vendors, and other key stakeholders.
Experience working directly with client-side stakeholders and operating within a highly service-driven environment.
Ability to manage multiple priorities simultaneously and work effectively under pressure while maintaining high levels of accuracy and attention to detail.
Strong organisational and time management skills, with the ability to deliver against tight deadlines and service level agreements.
Excellent written and verbal communication skills, with confidence communicating with senior stakeholders and candidates.
Experience coordinating complex activities across multiple geographies and time zones, including supporting international transfers or global hiring processes.
Strong problem-solving skills with the ability to proactively identify issues, manage escalations, and implement effective solutions.
Experience using Applicant Tracking Systems (ATS), HR systems, and Microsoft Office applications, particularly Excel and Outlook.
Ability to analyse information, maintain accurate records, and produce reports and trackers to a high standard.
Demonstrated commitment to delivering an exceptional candidate and stakeholder experience through a proactive and professional approach.
Experience providing guidance, training, or mentoring to junior team members would be advantageous.
Adaptable and resilient, with the ability to embrace change, new technologies, and evolving processes within a dynamic recruitment environment.
