Job Title: Sales Support Specialist
Reports to: Head of UK Sales
Location: Office based. Poole, Dorset
Hours: 40 hours per week – Monday to Friday
Role Purpose
To provide effective operational, administrative and data support to the UK Sales team, helping to ensure opportunities are followed up, customer and commercial information is accurate, sales activity is coordinated efficiently, and Account Managers have the support required to develop new and existing accounts.
Sales Opportunity & Engineer Recommendation Management
· Follow up engineer recommendations and record them accurately for conversion tracking.
· Chase quotations generated from engineer visits by phone and email.
· Work with other stakeholders to provide service engineers with monthly updates on progress and their personal conversions.
· Work through CRM/SAP information with Service Engineers as required to support opportunity progression.
· Support service auto-renewal activity and related follow-up.
Sales Support, Data & Reporting
· Utilise data held within business systems to create reports, insight and information for the Sales team and customers.
· Produce and support asset reports.
· Liaise with key stakeholders (Business Systems and Finance) to identify sales information and reporting requirements.
· Maintain accurate customer, contact and account information within SAP/CRM.
· Update customer price lists and ensure the correct pricing is held within SAP/CRM following notification from the Account Manager.
· Help resolve system, process or information issues where the Sales team requires support.
Sales Team & Account Support
· Provide day-to-day sales support to the Sales team, including proposals, quotations and requests for information.
· Assist Account Managers in supporting new and existing customer accounts.
· Support Account Managers with projects and tasks required to achieve sales objectives.
· Provide general administration support for the Sales department and complete ad hoc projects or administration requested by the Head of UK Sales, Business Development or Sales Director.
· Provide holiday cover for projects and refurbishments when required.
Trials & Customer Coordination
· Coordinate and oversee product trials as requested.
· Ensure trial and activity are organised, communicated and followed through appropriately.
· Coordinate post product trial review meetings and ensure results are shared with key stakeholders.
Construction Project & CRM Administration Support
· Provide administrative support for construction-related projects, ensuring relevant project, customer and opportunity information is accurately recorded and maintained within the CRM system.
· Support the sales team with data entry, project tracking, document management, quotation administration and general coordination to help ensure construction opportunities are progressed efficiently and key information remains accurate, complete and up to date.
Communication & Department Coordination
· Act as a liaison between Sales and other departments to support effective communication and delivery.
· Manage and respond to the Sales Support mailbox, ensuring requests are directed and progressed appropriately.
Systems & Team Support
· Help train new starters on SAP/CRM and relevant sales support processes.
· Support development of SAP/CRM training guides in collaboration with key stakeholders (Business Systems and Head of Sales)
· Support consistent use of sales systems and accurate record keeping across the team.
Key Working Relationships
Sales Director, Head of UK Sales; Head of Business Development; Account Managers; Service Engineers; Head of Systems; Finance; and other internal departments involved in supporting customers, sales activity, projects and refurbishments.
Role Focus
The role combines sales administration, opportunity follow-up, data and reporting, CRM/SAP accuracy, customer support and cross-functional coordination to improve the effectiveness of the UK Sales team.
Skills & Experience Required
· Strong communication and interpersonal skills.
· Confident telephone manner and ability to build rapport quickly.
· Highly organised with excellent attention to detail.
· Excellent IT Skills including using CRM systems and Microsoft Office tools.
