Job Summary
We are looking for a conscientious Accounts Assistant to join our finance team and help keep supplier payments running smoothly across the Group. Reporting to the Finance Manager, you will process high volumes of supplier invoices, resolve queries, and support timely, accurate payment runs. What You'll be Doing
- Process and code supplier invoices accurately and in a timely manner, in line with company policy and approval procedures.
- Match purchase orders, delivery notes and invoices, investigating and resolving any discrepancies with suppliers and internal stakeholders.
- Verify order details against supporting documentation to ensure accuracy before processing.
- Issue credit and debit notes as required, ensuring adjustments are properly authorised and recorded.
- Prepare and process weekly and monthly supplier payment runs, including BACS and international payments.
- Reconcile supplier statements and sales transactions/orders, responding to queries in a professional and timely manner.
- Handle customer queries relating to invoices, payments, and account discrepancies.
- Maintain accurate, up-to-date supplier records within the finance system.
- Assist with month-end close activities, including accruals and reconciliations relating to accounts payable.
- Coordinate with other departments (e.g. procurement, sales, warehouse) to resolve queries and ensure smooth transaction processing.
- Support the wider finance team with ad hoc administrative tasks and process improvement initiatives.
What We Are Looking for
- Previous experience in an accounts payable or finance administration role, ideally within a fast-paced environment.
- Strong attention to detail and accuracy when processing high volumes of invoices and data.
- Good working knowledge of Microsoft Excel and finance/accounting software (e.g. Sage, Xero or a similar ERP system).
- Excellent communication skills, with the confidence to liaise with suppliers and colleagues at all levels.
- Strong organisational skills and the ability to manage a busy workload while meeting deadlines.
- A proactive, can-do attitude and a genuine willingness to learn.
- AAT qualification (or working towards) is desirable but not essential.
