Job Summary
The operations Coordinator will provide comprehensive administrative and operational support to the Operations Manager across both Pollution Prevention (PPL) and Interceptor & Water Services (IWS) divisions.
The role is responsible for assisting with the planning, scheduling, coordination, and administration of projects, installations, tanker operations, environmental services, and customer orders. The successful candidate will act as a central point of coordination between customers, engineers, suppliers, subcontractors, and internal departments to ensure projects are delivered efficiently, safely, and to the highest standards.
This is a key role within the business and will play an important part in supporting the continued growth and operational performance of both divisions.
Key Responsibilities
Operational Coordination
- Provide day-to-day support to the Operations Manager.
- Assist in coordinating activities across the PPL and IWS divisions.
- Support operational planning to ensure efficient utilisation of labour, vehicles, equipment, and subcontractors.
- Monitor project progress and highlight potential delays or issues.
- Ensure operational records and databases are maintained accurately.
Scheduling & Resource Planning
- Coordinate engineer, technician, tanker and installation team schedules.
- Arrange service visits, maintenance works, drainage surveys, drainage repairs, interceptor works, bund installations, fuel management services, and reactive call-outs.
- Prepare and issue work instructions, job packs, RAMS and supporting documentation.
- Liaise with customers regarding attendance dates, access requirements and scheduling updates.
- Support the allocation of resources to maximise operational efficiency.
Customer Service & Client Liaison
- Act as a first point of contact for operational customer enquiries.
- Maintain regular communication with customers regarding project status and service delivery.
- Build positive relationships with customers, suppliers and subcontractors.
- Assist in resolving operational issues and customer concerns.
Project Administration
- Raise sales/service orders and coordinate supplier requirements.
- Assist in subcontractor documentation and approvals.
- Assist with project tracking and progress reporting.
- Ensure all service reports, photographs, completion certificates and associated documentation are received and filed.
- Support the preparation of customer quotations and project documentation where required.
Compliance & Quality
- Support compliance with company procedures, Health & Safety requirements, ISO 9001 and ISO 14001 standards.
- Maintain and support H&S personnel with engineer training records, certifications and competency records.
- Ensure RAMS, permits, site documentation and compliance records are available and up to date.
- Assist with internal and external audits when required.
Financial Administration
- Assist with job costing, methodology and project tracking.
- Ensure completed works are promptly prepared for invoicing.
- Support monitoring of purchase orders, subcontractor costs and operational expenditure.
- Assist with operational reporting and KPI data.
Continuous Improvement
- Identify opportunities to improve operational efficiency and customer experience.
- Support the implementation of new processes, systems and procedures.
- Assist with maintaining accurate management information and reporting metrics.

Essential
- Previous experience in an operations, planning, scheduling, coordination or administrative role.
- Excellent organisational and time management skills.

- Proficiency in Microsoft Office applications, particularly Outlook, Excel and Word.

Desirable
- Experience within environmental services, drainage, construction, engineering, facilities management or utilities sectors.
- Experience coordinating field-based engineers or operational teams.
- Knowledge of purchase order processes and project administration.
- Experience using ERP, CRM or job management systems (Business Central).

Suggested salary range: £28,000–£35,000 depending on experience
Pay: £28,000.00-£35,000.00 per year
