Pay: Pay Up to £27,600 (depending on experience and qualifications)

The Role of an Administrator
Key Responsibilities:
To answer telephone calls in a professional manner, take accurate messages and return calls at the Home Manager’s request.
To produce accurate and well-presented documents using a range of systems including Word, Excel, Access and PowerPoint.
To undertake typing/word processing, including confidential reports for Local Authorities, assessments, review records, letters, memos, etc.
To carry out routine filing and set up and manage filing systems as appropriate, including archiving records in line with procedures.
To maintain and replenish stationery stock.
To maintain staff records including appraisals, sickness reports, annual leave and TOIL records.
To operate and maintain all office equipment and liaise with IT services or contractors, as relevant, to report or correct technical issues.
To minute internal and external meetings to a high standard.
To monitor orders, deliveries, invoices and agency timesheets and ensure they are coded, authorised and forwarded in accordance with St Christopher’s procedures.
To monitor and order household and cleaning products.
To assist the Home Manager in the completion of statistical returns by preparing statistics and occupancy returns and evaluating data.
To manage the database, inputting and updating information as required.
To monitor and report maintenance issues in line with procedures.
To monitor health and safety requirements and maintain records.
To assist the Home Manager in keeping and updating the petty cash records and other financial accounts for the home, and assist with the system of invoicing in line with St Christopher’s financial procedures.
To adhere to and promote Cambian’s Equality and Diversity policy in all aspects of the work and to actively challenge discriminatory practice.

To be aware of and adhere to all relevant financial procedures and report any discrepancies to your manager immediately.
To promote and implement all of Cambian’s policies and procedures and report to a line manager, or other appropriate person, malpractice or evidence which may suggest it.
To ensure that all work undertaken by yourself and those you supervise is conducted to the highest professional standards and to lead by example.
To attend supervision as arranged with your line manager and participate in Cambian’s appraisal scheme.
To keep abreast of good practice and attend relevant training in order to develop own skills, knowledge and experience, in accordance with a personal development plan.
Requirements for an enhanced DBS and reference checking will be undertaken in line with government regulations and safer recruitment best practices. Whilst we endeavour to keep the recruitment process as short as possible, due to the nature of these important checks, it may extend the processing time. All young people are equally entitled to have their needs met in a fair and balanced way.
We will conduct online searches of shortlisted candidates. This check will be part of a safeguarding check, and the search will purely be based on whether an individual is suitable to work with children. As care must be taken to avoid unconscious bias and any risk of discrimination, a person who is not on the appointment panel will conduct the search and will only share information if and when findings are relevant and of concern.
