Executive Assistant / Patient Care Coordinator
The Green Room Clinic is looking for an exceptional Executive Assistant to become the backbone of our growing medical aesthetics clinic.
This is far more than an administration role. We are looking for someone who genuinely loves people, enjoys creating exceptional customer experiences and thrives in a fast-paced environment where no two days are the same.
Initially, this position will be 3 days per week on a self-employed basis, with the opportunity to increase to full-time as the clinic continues to grow.
You will work closely alongside Rebecca Welstead-Green, Nurse Prescriber and founder of The Green Room Clinic, helping ensure every patient receives an outstanding experience from their very first enquiry through to their final treatment.
Your responsibilities will include:
- Answering incoming telephone calls
- Responding to client emails and WhatsApp messages
- Booking, moving and managing appointments
- Looking after patients before, during and after treatment
- Sending treatment plans and aftercare information
- Ordering clinic stock and skincare products
- Managing day-to-day clinic administration
- Keeping patient records accurate and up to date
- Liaising with suppliers
- Assisting with invoicing and payments
- Helping maintain the smooth running of the clinic
- Supporting Rebecca with diary management and daily priorities
- Delivering exceptional customer service at every interaction
We're looking for someone who:
- Has at least 3 years' experience within beauty, aesthetics or medical aesthetics
- Has excellent written and verbal communication skills
- Is highly organised and naturally proactive
- Takes initiative rather than waiting to be asked
- Can prioritise multiple tasks efficiently
- Is warm, friendly and professional
- Is confident speaking with clients on the phone
- Is comfortable using computer systems and booking software
- Has excellent attention to detail
- Enjoys working as part of a small team
- Takes pride in providing outstanding customer service
Essential Requirements
- Excellent English, both written and spoken
- Strong IT skills
- Confident telephone manner
- Excellent organisational skills
- Full UK driving licence
- Ability to work from our Wimborne clinic with own desk and office space
Pay: From £16.00 per hour
