Job Overview
We are seeking an experienced, enthusiastic and motivated administrative assistant to join our team. The ideal candidate will possess strong administration skills, a keen attention to detail and the ability to manage multiple tasks efficiently, providing essential support and assisting with the smooth processing of new homes purchases. This role is pivotal in ensuring that all documentation is accurate and deadlines are met, contributing to an efficient and professional service for our clients.
Responsibilities
- Assist the conveyancers in managing the purchase of new home property transactions from start to finish.
- Assist with file opening and initial client care processes to include identity checks and Anti Money laundering compliance for new clients.
- Provide clerical and administrative support to the New Homes team as needed to include printing reports on title and ensuring all enclosures are copied and included, scanning documents etc.
- To be familiar with using Microsoft products.
- Respond to client and third party enquiries in a professional manner.
- Liaise with clients, estate agents, and other stakeholders to gather necessary documentation.
- Maintain accurate records of all correspondence and documentation related to each transaction using our case management system.
- Ensure compliance with legal requirements and company policies throughout the conveyancing process.
- Provide administrative support, including scheduling appointments and managing files.
Qualifications
- Previous experience of working in a similar role in a law firm is desirable.
- Strong organisational skills with a keen attention to detail.
- Demonstrated ability to communicate clearly and effectively with clients and colleagues alike.
- Ability to work effectively under pressure and manage multiple tasks simultaneously.
- Proficiency in using Microsoft Office Suite applications and case management systems.
