Purpose of role:
To provide fleet administration support to Account Managers in a smooth, orderly, and timely manner.
Key Responsibilities:
- Proactive day to day assistance to Account Managers
- Liaising with dealers, suppliers, and clients utilising online platforms, telephone and email
- Arrange and manage service, maintenance, repair and hire vehicle bookings for drivers as required
- Communicating professionally with drivers, contacts, suppliers and colleagues at all times
- Continually focusing on delivering excellent customer service, ownership of work, managing priorities and meeting deadlines set by Account Managers
- Maintaining databases, ensuring they are kept up to date and accurate when dealing with any enquiry and cleanse the information as required
- Liaise with other colleagues in regards to issues arising on a daily basis and interface with other departments as required
- Type and prepare documents, reports, and correspondence
- Answer phone calls and direct them to the appropriate personnel with professionalism and excellent phone etiquette
- Provide general administrative support such as filing, photocopying, and organising documents
- Assist with office organisation and maintenance
- Attend training and development as required
- To be conversant and comply with all Health, Safety, and Environmental requirements published by the company
- To operate in a safe and responsible manner at all times
Experience:
- Previous experience in an administrative role is preferred
- Strong organisational skills with the ability to prioritise tasks effectively
- Proficient in computer skills, including Microsoft Office Suite (Outlook,Word, Excel)
- Excellent verbal and written communication skills
- Attention to detail and accuracy in data entry and document preparation
- Ability to handle confidential information with discretion
- Ability to work on own initiative and work unsupervised
- Customer/Supplier relationship experience
- Excellent time management skills
