Responsibilities
- Manage incoming calls with professionalism, demonstrating excellent phone etiquette and clear communication.
- Handle data entry tasks accurately using various software tools such as Microsoft Office, Google Workspace, and Care software applications.
- Organize and maintain files, records, and documents both digitally and physically for easy retrieval.
- Assist with scheduling appointments, meetings, and calendar management for team members.
- Support clerical tasks including typing correspondence, photocopying, scanning, filing, preparing reports, and preparing minutes for regular meetings.
- Coordinate office supplies inventory and place orders as needed to ensure smooth daily operations.
- Provide general administrative support by performing errands, managing mail, and assisting visitors or clients when required.
Skills
- Proven office experience with strong organizational skills and attention to detail.
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Calendar), and QuickBooks.
- Excellent typing speed with high accuracy for data entry tasks.
- Demonstrated clerical experience with familiarity in handling phone calls professionally using proper etiquette.
- Strong organizational skills to prioritize tasks effectively in a busy environment.
- Knowledge of basic accounting or bookkeeping is a plus but not required.
- Ability to adapt quickly to new software tools or processes as needed.

Administrative Duties
- Answering inbound telephone calls
- Record events and update our record systems with new information as it becomes available.
- Monitor the company email inbox and alert the Registered Manager to emails that need his response.
- Respond to email care enquiries that request additional information in liaison with the Senior Administrator and Registered Manager.
- Respond to emails in a professional manner as appropriate.
- Typing and sending out written communications as directed by the Registered Manager.
- Carry out recruitment process and safe recruitment checks.
- Monitor and maintain staff files and training.
- Perform regular staff file audits.
- Prepare training materials and the training room for in-house training.
- Prepare client assessment packs.
- Prepare, type and update risk assessments and client care plans. Monitor and review as required.
- Prepare client folders.
- Ensure stocks of stationery and other consumable items are maintained and stored correctly.
- Ensure stocks of PPE and uniforms are maintainted

Care Professional Support
- Manage the rota for all care staff as required
- Make rota changes in response to incoming calls or emails.
- Manage, collect and monitor information around vaccinations for all staff.
- Ensure that stocks, including PPE, uniforms and other consumable items are maintained and stored correctly.
- Ensure Service Users are at the heart of the care delivery and their wishes and preferences enhance their wellbeing
- To ensure that all staff contribute to the efficient running of GreatPride Care Limited and supervise staff
- To organise and co-ordinate care delivery in accordance with current best practices, according to policy and procedures, agreed standards, legislative requirements, and relevant regulations under the direction of the Registered Manager and within the financial plans
- Ensure that the care service is delivered to Service Users at the times and for the duration specified in the relevant individual agreement(s) and contract standards
- Be responsible for promoting and safeguarding the welfare of those individuals GreatPride Care support
Working with Others
- Develop effective working relationships with other employees within GreatPride Care Limited
- Work in co-operation with members of the multi-disciplinary teams to maximise opportunities for Service Users.
Additional Responsibilities
- Covering care calls as required.
- Supporting staff and service users with medical emergencies as they arise.
- Being part of the on-call service as required.
Personal Responsibilities
- Attend statutory training and any other training as directed by the Registered Manager.
- Knowledge of, and work within, the Fundamental Standards
- Understand the regulatory framework that governs the service, including the role of CQC and their requirements
- Commit to achieving the relevant qualifications commensurate with the role
- Attend statutory training and any other training as directed by management

This role is subject to DBS check and satisfactory Right to Work checks if applicable.
A full UK driving licence is required as may need to travel during office hours.
Pay: £13.30 per hour
