Job Title: Concerts and Events Coordinator
Salary: Band B point 20 - point 21 (£25,226 - £26,147) FTE for a full academic year
Hours: 8.30am - 4.30pm 37.5 hours with 30 minutes unpaid lunch per week, term
time plus 2 weeks
Responsible to: Director of Music & Expressive Arts
Main Purpose of Job: To work closely with the Heads of Departments toschedule and
facilitate concerts and events relating mainly but not exclusively to pupil performances.
Main Duties and Responsibilities:
● Schedule concerts and events throughout the academic year, including lunchtime concerts, teatime concerts, flagship performances, assessments, competitions and external engagements. Maintain concert planning templates for the current year and future planning cycles, ensuring clashes are avoided and information is accurately communicated;
● Coordinate performances through liaison with school departments including Enterprises, Catering, Estates, Technical, Marketing and Operations teams, together with Collaborative Pianists, Visiting Music Staff, Graduate Music Assistants, Cathedral staff and external organisations;
● Maintain event information across relevant platforms including Involve, Concert Templates, SOCS, room booking systems and other departmental records, ensuring information is appropriate for each audience;
● Oversee room bookings for Cedars Hall, Quilter Hall and other Music & Expressive Arts spaces, managing clashes and authorising bookings where appropriate;
● Ensure each event has a designated lead organiser and appropriate planning documentation, including event checklists and staffing information;
● Prepare agendas, attend and take minutes for weekly Concerts Meetings, attend relevant Operations Meetings and manage the Music@Wells inbox, responding to enquiries or directing them to the appropriate colleague;
● Liaise with the Foundation, Friends of Music and Old Wellensians, assist with VIP invitations and hospitality arrangements, and support audience development initiatives;
● Handle donations received at concerts and events, maintaining accurate records and liaising with the Bursary regarding banking and fund allocation;
● Coordinate external concert and competition entries, support external performance trips and masterclasses, and provide administrative support for transport, catering and other event requirements;
● Support the Music & Expressive Arts Operations Administrator with pupil and event administration as required;
● Oversee Front of House operations for lunchtime concerts and support Front of House and hospitality arrangements at major concerts and events, including evening attendance as necessary;
● Produce and coordinate programmes for public-facing concerts, including collating repertoire and performer information, proofreading, design, printing and distribution;
● Maintain concert listings, box office information and promotional materials across school communication channels, ensuring deadlines are met and information remains accurate;
● Monitor box office sales and audience engagement, responding appropriately to trends and demand;
● Assist with the administration of external music examinations and other performance-related assessment activities as required.
