Salary: £25,500 – £30,000 per annum, depending on experience

Working Hours: Monday to Friday, 8:00am – 5:00pm

About the Role
We are looking for an organised, proactive and confident Scheduling & Operations Administrator to join our busy team in Buntingford.
This is a varied role that would suit someone with experience in scheduling, account management, administration, customer service, diary management or coordinating engineers/field-based staff.
You will be responsible for managing allocated client accounts and coordinating jobs from initial booking through to completion and invoicing. You will work closely with clients and management to ensure jobs are scheduled efficiently, information is kept up to date, and any issues are resolved promptly.
This is a fast-paced position where organisation, communication, attention to detail and the ability to manage multiple tasks at once are essential.
Key Responsibilities
Scheduling & Diary Management
- Schedule and coordinate appointments for engineers.
- Arrange and manage rebooking’s where required.
- Coordinate engineer availability with client requirements.
- Maintain accurate schedules for engineers and higher management.
- Monitor outstanding jobs and ensure appointments are completed within required timescales.
Account Management
- Take ownership of allocated client accounts and manage jobs from start to finish.
- Ensure job information and records are accurate and kept up to date.
- Follow up outstanding jobs and identify any delays or issues.
- Ensure all required documentation is received and uploaded correctly.
Client & Customer Service
- Act as a key point of contact for clients and customers.
- Respond to queries by telephone and email in a professional and helpful manner.
- Deal with complaints and investigate issues where necessary.
- Provide updates on appointments, job progress and completion.
- Build and maintain positive working relationships with clients.
Client Systems & Administration
- Update client systems with booking, progress and completion information.
- Upload relevant documentation and ensure records are maintained accurately.
- Complete general administration associated with allocated accounts and jobs.
- Ensure information is entered accurately and within required timescales.
Invoicing & Reporting
- Assist with and oversee the invoicing process for completed works.
- Check job information and costs before invoicing.
- Use Microsoft Excel to maintain trackers, monitor job statuses and produce reports.
Communication & Problem Solving
- Liaise with engineers, clients, management and internal departments.
- Identify and resolve scheduling and operational issues.
- Escalate problems where appropriate.
- Work proactively to prevent delays and improve the overall process.
- Identify opportunities to improve administration, scheduling and account management procedures.
About You
We are looking for someone who is highly organised, reliable and confident communicating with both clients and colleagues.
- Previous experience in scheduling, diary management, or a similar role is desired, but not essential.
- Strong organisational and time-management skills.
- Good knowledge of Microsoft Excel, including data entry, spreadsheets and basic formulas.
- Strong problem-solving skills and a proactive approach.
- Ability to work effectively under pressure in a busy environment.
