CB1 Medical is seeking a highly organised, patient-focused Patient Support Administrator to join our growing team in the Loughborough area.
This is a fully office-based role within a fast-paced private healthcare environment. We are looking for someone with previous experience in private healthcare or a similarly high-demand clinical setting, who is confident managing patient communication, appointments, and operational workflows to a high standard.
You will report to the Patient Services Manager and COO and play a key role in ensuring patients move smoothly and efficiently through their care pathway.

Main Duties & Responsibilities
- Represent CB1 Medical with professionalism, discretion and integrity at all times.
- Deliver consistently high standards of patient service in a private healthcare setting.
The Patient Pathway
You will be responsible for managing and supporting patients through their clinical journey, including:
- Receiving and processing patient registrations within defined response timeframes.
- Managing appointment bookings, cancellations and rescheduling efficiently.
- Monitoring capacity and escalating potential shortages to management.
- Contacting patients via phone, email, and text to offer appointment options.
- Confirming appointments and any special requirements.
- Requesting relevant information from external providers in line with company policy.
- Liaising with CB1 Pharmacy regarding medication-related queries.
- Ensuring patient communication is clear, accurate and timely at all times.
This role requires the ability to work quickly and accurately while managing competing priorities.
Data Quality & Systems
- Maintain accurate and up-to-date patient demographic information.
- Record all patient interactions , ensuring a complete audit trail.
- Support data accuracy and correction of errors as directed.
- Cancel and rebook clinics where required by management.
- Ensure all actions are completed within defined operational timeframes.
Code of Conduct & Operational Standards
- Maintain strict patient confidentiality in line with policy and professional standards.
- Fully comply with CB1 Medical policies and procedures.
- Maintain 100% compliance with mandatory training.
- Support induction and training of new team members where required.
- Contribute to continuous service improvement and operational efficiency.
- Support the adoption of new systems and processes to improve patient experience.
This role requires resilience, attention to detail, and the ability to perform consistently under pressure.
Person Specification
Essential
- Experience working in private healthcare or a fast-paced clinical environment.
- Strong IT skills including email, Word and Excel.
- Demonstrated ability to deliver excellent customer service.
- Ability to work efficiently in a fast-paced, high-volume setting.
- Strong organisational and communication skills.
Desirable
- Experience within a specialist clinic or regulated healthcare service.
- Familiarity with medical terminology.
- Experience in a telemedicine or digital healthcare environment.
