We are looking for an experienced and motivated Administration Lead to join our leadership team. This is an exciting opportunity for someone who enjoys leading people, improving services and making a genuine difference within Primary Care.
About the Role
This is much more than a supervisory role.
As our Administration Lead, you will be responsible for leading and developing a busy administrative team while helping shape the future of our administrative services. Working closely with the Operations Manager, Practice Manager and clinical teams, you'll have the opportunity to improve processes, support staff development and contribute to the continued success of the practice.
We're looking for someone who can confidently lead by example, inspire others and take ownership of delivering an efficient, patient-focused administrative service.
What You'll Be Doing
- Lead, motivate and support the administrative team to deliver an excellent service.
- Coordinate workloads, ensuring work is completed efficiently and accurately.
- Coach and develop team members through regular one-to-ones, appraisals and ongoing support.
- Assist with recruitment, induction and probation reviews.
- Plan administrative rotas and ensure appropriate staffing levels.
- Support patient registrations, medical records management and workflow administration.
- Help deliver QOF, Enhanced Services and patient recall programmes.
- Identify opportunities to improve processes and implement positive change.
- Monitor quality, productivity and performance standards.
- Build strong working relationships with clinical teams and external organisations.
- Ensure compliance with practice policies, information governance and confidentiality requirements.
- Provide hands-on administrative support during busy periods.

Essential
- Previous experience in an administrative role.
- Experience supervising, leading or managing an administrative team.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Ability to prioritise competing workloads.
- Confident using Microsoft Office and a range of administrative systems.
- Ability to work independently and collaboratively.
- A proactive approach with a focus on continuous improvement.
- Commitment to professionalism, confidentiality and excellent customer service.
Desirable
- Experience working within General Practice, Primary Care or the NHS.
- Knowledge of SystmOne, AccuRx, Anima or similar clinical systems.
- Understanding of QOF, Enhanced Services and patient recall processes.
- Experience supporting staff development and performance management.
- Leadership or management qualification.
