JReceptionist & Administrative Coordinator
Location: The Grange Community Resource Centre, Beswick (with responsibilities across all 4CT buildings)
Hours: 30 hours per week

About the Role
4CT is looking for a welcoming, organised and proactive Receptionist & Administrative Coordinator to be the first point of contact across our community centres. Based at The Grange, you’ll support visitors, hirers, contractors and community groups while helping keep our buildings running smoothly day to day.
This is a varied role ideal for someone who enjoys working with people, staying organised, and supporting busy community spaces.
Key Responsibilities
Front of House & Customer Service
- Provide a friendly, professional reception service at The Grange.
- Respond to enquiries via phone, email, Eventbrite, SPACE group and in person.
- Support community groups, hirers and visitors with information, access and room setup.
- Issue staff badges and support general front‑of‑house duties.
Room Hire, Bookings & Administration
- Manage room hire bookings across all 4CT buildings (Stirling, Sporting Edge, Grange, Bennett Street).
- Oversee the Parking Permit scheme for events and football matches.
- Maintain accurate digital and written calendars.
- Keep detailed records of bookings, cancellations, payments and attendance.
- Coordinate Eventbrite listings and manage online bookings for community activities.
Building Operations & Compliance Support
- Book contractors for maintenance and ensure they are logged appropriately.
- Support the Operations Manager with building files and compliance documentation.
- Liaise with staff to ensure rooms are set up correctly for meetings, groups and events.
- Assist with monitoring maintenance schedules and reporting issues promptly.
Communication & Social Media
- Update Facebook and other social media channels with activities, events and centre news.
- Share information with community groups and partners.
Coordination & Internal Support
- Work closely with the Operations Manager and wider team to ensure smooth running of all centres.
- Support coordination of annual leave by keeping accurate records.
- Provide general administrative support including filing, data entry and record‑keeping.
Person Specification
Essential
- Strong customer service skills and a welcoming, professional manner.
- Excellent organisational skills and ability to manage multiple tasks.
- Confident using digital calendars, booking systems and social media.
- Good written and verbal communication skills.
- Ability to work independently and as part of a team.
- High attention to detail and commitment to accurate record‑keeping.
Desirable
- Experience in community centres, facilities management or reception roles.
- Knowledge of Eventbrite or similar booking systems.
- Understanding of basic building compliance processes.
- Experience supporting contractors or maintenance scheduling.
Additional Requirements
- Occasional evening or weekend work depending on bookings.
- Willingness to work across multiple 4CT buildings when required.
