Role Overview
An Aesthetic Front of House coordinator serves as the vital link between patients and practitioners in a cosmetic clinic, focusing on driving sales, managing the patient journey, and ensuring a five-star experience. This role is heavily sales-oriented, requiring a sales-driven individual to convert enquiries into bookings, manage consultations, and consistently meet monthly performance targets. The perfect candidate for this position need to be able to be based at our Chiswick practice and work full time.
Core Responsibilities
1. Patient Coordination & Front-of-House
- Manage bookings, cancellations, and clinic schedules
- Greet patients and ensure a smooth clinic journey
- Handle enquiries (phone, email, social media)
- Maintain patient confidentiality and records
2. Consultation Duties
- Conduct initial consultations (non-prescribing)
- Assess patient concerns, goals, and expectations
- Explain treatment options, pricing, and packages
- Take clinical photographs (before/after)
- Identify suitability and flag any contraindications
- Escalate to prescriber when required
3. Sales & Conversion (Including Memberships)
- Convert enquiries into booked consultations/treatments
- Recommend tailored treatment plans
- Introduce and sell membership plans aligned with patient goals
- Explain membership benefits (cost savings, priority booking, exclusives)
- Position memberships as part of long-term treatment planning
- Promote packages, skincare, and add-on treatments
- Follow up leads and incomplete consultations
- Track conversion rates, including membership uptake
4. Clinical Support
- Prepare treatment rooms and stock
- Assist practitioners during clinics if required
- Ensure consent forms and documentation are completed
- Maintain infection control and clinic standards
5. Stock & Inventory Management
- Monitor and track stock usage (toxins, fillers, skincare)
- Report daily usage to line manager
- Ensure proper storage (fridge, locked cupboards)
- Flag low stock and manage orders
6. Administration & Compliance
- Maintain accurate patient records (CRM systems)
- Ensure GDPR compliance
- Process payments, packages, and membership plans
- Support audits and regulatory standards
7. Aftercare & Patient Retention
- Provide aftercare instructions
- Conduct follow-ups and review appointments
- Manage patient concerns or complications (escalate when needed)
- Build long-term patient relationships
- Drive retention through memberships and treatment plans
