We're looking for a motivated and organised Administrator / Scheduling Coordinator to join our Medway office. This is a varied, hands-on role, ideal for someone who enjoys organisation, planning and keeping operations running smoothly within a busy facilities management environment.
Responsibilities
- Scheduling engineers, operatives and subcontractors for planned and reactive works.
- Coordinating daily diaries and allocating jobs efficiently.
- Liaising with clients, suppliers and operatives via telephone and email.
- Monitoring job progress and updating clients on work status.
- Raising purchase orders and processing work requests.
- Setting up new supplier accounts and maintaining accurate records.
- Managing fleet administration, including vehicle servicing, MOTs and compliance records.
- Updating internal systems, including Zoho CRM and Microsoft Office.
- Producing reports and maintaining accurate spreadsheets.
- Ordering office supplies and supporting general office administration.
- Assisting with document preparation, quotations and compliance paperwork.
- Supporting the management team with day-to-day operational tasks.
- Ensuring all administration is completed accurately and within required timescales.
Requirements
- Previous experience in an administration, scheduling or coordination role.
- Excellent organisational and time management skills.
- Strong communication skills with a professional telephone manner.
- Confident using Microsoft Office (Word, Excel and Outlook).
- Experience using CRM or scheduling systems (Zoho experience desirable but not essential).
- Excellent attention to detail.
- Ability to prioritise workload and work independently.
- Friendly, reliable and adaptable approach.
- Experience within facilities management, maintenance or construction is desirable but not essential.
- Due to our location, applicants will need to have their own transport.
