Role Purpose
To provide professional administrative, reception, and business support services across the firm, helping deliver an efficient and welcoming experience for clients, visitors and colleagues. The role reports to the Operations and Facilities Manager with tasks being overseen by the admin supervisor and supports the day to day running of the office, client administration processes, and central business support activities while working in line with the Central Administration Framework.

The responsibilities of the Client Services Administrator will include:
Reception & Client Experience
You will be the friendly face and voice of the firm, helping to create a professional and welcoming experience for clients, visitors, and colleagues. You will manage reception activities, handle incoming calls and post, support visitors, and help ensure the office runs smoothly on a day-to-day basis. You will play an important role in making sure clients and staff receive a positive and efficient service.
Client Onboarding
You will support the onboarding of new clients by assisting with administrative and compliance processes, including identity verification checks and engagement documentation. Working closely with colleagues across the business, you will help ensure information is complete, accurate and processed efficiently.
Business Administration
You will help maintain accurate client information across firm systems and records, ensuring data is kept up to date and administrative tasks are completed promptly. This includes supporting document retrieval, record maintenance, document preparation and formatting, electronic document workflows, Docusign processes, and general administration activities that help the business operate effectively.
Additional Support Responsibilities
You will support the wider Central Administration function by helping with office administration, meeting and travel arrangements, shared areas, supplies, and general team support where needed. You may also provide cover during periods of absence, increased workload or business need to help maintain service continuity.
Knowledge, Skills & Experience
We are looking for someone with previous administration, reception or business support experience who takes pride in being organised, accurate and reliable. You will be confident in communicating with clients and colleagues, comfortable using Microsoft 365 and able to prioritise your workload while working independently.
Most importantly, you will bring a positive, helpful and proactive approach, with a genuine willingness to get involved, support others and make a meaningful difference to how the firm runs day to day.

Person Specification
We are looking for someone with previous administration, reception or business support experience who takes pride in being organised, accurate and reliable. Hours will be 8:30-4:30 Monday to Friday
