As our clinic continues to grow, we are looking for a confident, organised and personable Front of House Patient Coordinator to become the first point of contact for our patients and play a key role in the success of the clinic.
The Role
This is much more than a receptionist position.
We are looking for someone who is passionate about delivering exceptional customer service, building strong patient relationships and ensuring every patient receives a seamless journey from initial enquiry through to treatment completion.
You will be responsible for:
- Delivering a warm, professional welcome to all patients and visitors
- Answering incoming calls, emails and enquiries promptly and professionally
- Converting enquiries into consultations and treatment bookings
- Following up leads and nurturing patient relationships
- Managing and optimising appointment diaries across both clinic locations
- Processing payments and maintaining accurate patient records
- Supporting patients with treatment information, pricing and booking options
- Maintaining a premium front of house environment
- Receiving and processing mail and deliveries
- Assisting with clinic administration and operational tasks
- Supporting data collection and record keeping for audits and compliance purposes
- Working closely with the clinical team to ensure the smooth day-to-day running of the clinic
Compliance & Clinic Standards
As an HIS-regulated clinic, maintaining the highest standards of compliance and patient safety is essential.
You will be expected to:
- Uphold confidentiality, data protection and infection control procedures
- Ensure patient information is handled safely and in accordance with GDPR and clinic protocols
- Follow all clinic policies, procedures and Standard Operating Procedures (SOPs)
- Support the clinic in maintaining HIS standards and regulatory requirements
- Contribute to continuous improvement initiatives
- Promote a safe working environment and adhere to all health and safety policies
About You
Essential
- Previous reception, customer service or patient-facing experience
- Excellent communication and interpersonal skills
- Confident and professional telephone manner
- Highly organised with strong attention to detail
- Comfortable discussing treatment pricing and booking options
- Ability to multitask in a busy environment
- Professional appearance and presentation
- Positive, proactive attitude with a genuine passion for delivering outstanding customer service
- Willingness to undertake HIS compliance and clinic-specific training
Desirable
- Experience within aesthetics, beauty, private healthcare or hospitality
- Experience using booking systems such as Fresha
- Sales, customer retention or target-driven experience
- Understanding of patient journeys and treatment planning
