We are seeking a highly organised and detail-oriented Office Administrator to join our team. This role is essential in ensuring the smooth operation of daily administrative functions within our company. The successful candidate will be responsible for managing orders in a timely manner, liaising with engineers, maintaining job records and supporting the team through effective administrative support. Prior office experience is an advantage, strong computer skills are essential. Joblogic experience would be beneficial but not essential. The role offers an excellent opportunity for individuals looking to develop their administrative expertise within a professional environment.
Responsibilities
- Manage incoming and outgoing correspondence professionally, including emails and phone calls.
- Maintain and update organisational records and filing systems, both physical and electronic
- Assist with data entry tasks using programmes such as Microsoft Office and Joblogic
- Prepare quotations, purchase orders and other administrative documents
- Support the preparation of reports, presentations and other documentation as required
- Liaise with customers, suppliers, and contractors
- Schedule appointments for engineers
- Booking accomodation for engineers
- Assist with timesheet processing
- Perform general clerical duties
- Ensure compliance documentation is kept up to date
- Ensure the office environment is tidy and organised at all times
- Support other administrative tasks as needed to facilitate efficient office operations
Qualifications
- Proven office experience or administrative background
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint), Joblogic experience would be beneficial but not essential
- Excellent organisational skills with the ability to prioritise tasks effectively
- Strong keyboard skills with attention to accuracy and detail
- Good phone etiquette and professional communication skills
- Data entry experience with high levels of accuracy
- Ability to work independently as well as part of a team in a fast-paced environment
- Experience within the construction, engineering, or mechanical services sector is advantageous but not essential.
