Job Purpose
The Sales Co-ordinator will provide essential administrative, sales and marketing support to the commercial team across London Town Hotels’ three London properties.
Working closely with the Director of Sales and wider Sales & Marketing team, the role will help drive revenue, strengthen client relationships, identify new business opportunities and ensure that sales activity is organised, proactive and commercially focused.
This is a hands-on and varied role, combining sales administration, market research, client engagement, telesales, agency management and marketing support.
Key Responsibilities
1. Sales Administration & Coordination
- Provide day-to-day administrative support to the Sales team and Director of Sales.
- Maintain accurate sales databases, account information, contacts and activity records.
- Support the preparation and submission of RFPs, RFIs, tenders and corporate bids.
- Assist with loading and maintaining corporate rates, promotions and client information.
- Prepare sales reports, presentations, account overviews and meeting documents.
- Coordinate sales appointments, client visits, hotel tours and familiarisation trips.
- Maintain accurate records of enquiries, opportunities, follow-ups and business conversion.
- Assist with tracking outstanding contracts, agreements and client documentation.
- Support the preparation of weekly and monthly commercial reports.
2. Market Research & Business Development
- Conduct regular market research to identify new business opportunities across corporate, leisure, MICE, agency and group segments.
- Research potential companies, travel management companies, agencies, tour operators and local businesses.
- Identify key decision-makers and relevant contacts within target accounts.
- Monitor competitor activity, pricing, promotions and market trends.
- Support the Director of Sales in developing target account lists and sales strategies.
- Research local events, exhibitions, conferences and demand generators that could generate business for the three hotels.
- Maintain an up-to-date prospecting database and ensure opportunities are followed up.
3. Agency & Partner Management
- Support the development and maintenance of relationships with travel agencies, tour operators, DMCs, TMCs, wholesalers and other business partners.
- Assist with agency contracting, rate loading, promotions and communications.
- Conduct regular agency outreach by email and telephone to promote the three properties.
- Identify new agency partnerships and opportunities for additional room-night production.
- Assist with monitoring agency production and identifying opportunities to grow business.
- Coordinate agency visits, site inspections and familiarisation trips.
4. Telesales & Proactive Sales
- Make proactive outbound calls to existing and prospective clients.
- Follow up sales leads, enquiries, proposals and dormant accounts.
- Introduce the three London Town Hotels properties to potential clients.
- Qualify new business opportunities and identify client requirements.
- Arrange appointments and sales calls for the Director of Sales and wider commercial team.
- Conduct regular account follow-ups to encourage repeat and incremental business.
- Maintain detailed records of calls, outcomes and next actions.
5. Client Engagement & Account Support
- Act as a professional and friendly point of contact for existing and prospective clients.
- Support regular client communication through email, telephone and face-to-face engagement.
- Assist with account reviews, client meetings and relationship-building activities.
- Prepare personalised communications and promotional information for key accounts.
- Ensure client requests are followed up promptly and communicated to the relevant hotel departments.
- Support client retention and encourage repeat business across all three properties.
- Assist with corporate account development and cross-selling between the hotels.
- Assist with updating promotional materials, presentations, flyers and sales collateral.
- Help promote hotel offers, packages, meetings and events.
7. Meetings & Events Support
- Support the Meetings & Events team with sales administration and lead generation.
- Assist with proactive outreach to local companies and event organisers.
- Help identify opportunities for meetings, conferences, private events and group bookings.
- Support follow-up of M&E enquiries and maintain accurate records of potential business.
- Assist with promoting meeting packages and Day Delegate Rates.
Key Performance Indicators
Success in the role will be measured through:

- Previous experience in a sales, commercial, hospitality or customer-facing administrative role.
- Excellent organisational and administrative skills.

- Good knowledge of Microsoft Office, particularly Outlook, Word and Excel.
Desirable:
- Previous hotel or hospitality sales experience.
- Experience working with corporate clients, agencies or MICE business.
- Knowledge of hotel distribution, RFPs, GDS, OTAs or CRM systems.
- Experience supporting social media or digital marketing activity.
- Knowledge of the London hotel market.
