Colour Sound Experiment is an entertainment lighting and video hire specialist to the live events sector, with over 35 years’ experience behind it.
We have a vacancy for an Operations and Office Admin to join us at Colour Sound HQ in North West London. This role focuses on general administrative and purchasing support, while also assisting the Crew Booking team as required.
We’re looking for an organised and proactive individual with excellent attention to detail who is comfortable handling routine administrative tasks while also keeping an eye on efficiency and cost-effectiveness.
Key Responsibilities
Core Administration & Purchasing
- Financial Admin: Raise purchase orders and process transactions efficiently using Xero.
- Cost Control: Research suppliers and compare pricing to ensure we are always getting the best value; chase missing receipts to maintain clean financial records.
- Facilities Support: Monitor supplier contracts (utilities/services) and track renewal dates.
- Compliance: Manage the health and safety calendar and ensure all administrative compliance is up to date.
- Office Coordination: Manage incoming calls, greet visitors, and handle deliveries.
- Data Management: Maintain internal spreadsheets and records with a high degree of accuracy.
Crew & Logistics Support
- Provide administrative backup to the Crew Booking team as required.
- Arrange cost-effective travel and accommodation for staff and crew.
- Handle essential documentation including accreditation, crew lists, insurance records, and A1 applications.
Skills & Experience
- Experience with purchasing or supplier coordination highly desirable
- Previous experience in the lighting hire industry and/or crew booking desirable but not essential
- Strong verbal and written communication skills
- Proficiency with Google Workspace desirable but not essential
- Excellent organisational skills
- Strong data entry accuracy and attention to detail
- Confident handling phone calls and general office communication
- Ability to evaluate options and identify cost-effective solutions
- Ability to monitor own workload and meet deadlines
- Quick thinking and practical problem solving
