We are seeking a dynamic and organised Receptionist & Admin Assistant to join our team! Please note this role is a temporary 3 month fixed term contract, with the potential to extend or become permanent in the future.
Key areas of responsibility:
- First point of call for all incoming calls and office visitors, directing callers to the appropriate person to handle their call and when necessary, taking messages and ensuring the appropriate person receives those messages
- Maintaining the company’s Admin email inbox
- Where appropriate assisting clients with their questions
- Monitoring the company’s WhatsApp account for client messages, ensuring messages are passed to the correct member of the team
- Dealing with post in and out, including associated record keeping
- Preparing and sending sales invoices to clients in line with information provided
- Administration and record keeping associated with hire cars, mobile phones, office cleaning, post and other business contracts as needed
- Making Hire car and Hotel arrangements for site visits and other business trips
- Ordering services and supplies for premises and facilities
- Taking card payments from clients over the phone
- The administration and organisation of Company events
- Assisting with the drafting of itineraries and organisation of site visits in the absence of other team members
General office duties:
- Assist the general running and administration of the practice by carrying out administrative and support tasks as requested by the Directors and Office Manager
- Maintaining cleanliness and keeping office tidy in between weekly professional cleans
- Managing printer ink subscriptions and printer maintenance
- General filing and administrative tasks
Essential Experience:
- Telephonist experience
- Previous office administration experience
- Experience of Microsoft office systems
Desirable:
- Experience in creating sales invoices
Essential Knowledge:
- Demonstrable competence in MS Office

Additional details:
Hours for this role are 9:00am to 5:00pm, Monday-Friday with a 1-hour unpaid lunchbreak.
The post is based at our offices at Upton Magna Business Park. Home working is not supported for this role.
Pay: £24,785.00 per year
