Our Special Angels is a specialist childcare provider supporting children and young people with Special Educational Needs and Disabilities (SEND). We provide holiday clubs, weekend sessions and short breaks in a safe, fun and nurturing environment.
As our organisation continues to grow, we are looking for a friendly, organised and reliable Office Administrator to support the day-to-day running of our busy office.
This role is ideal for someone looking for school-friendly working hours and wanting to be part of an organisation that makes a real difference to children and families.
About the Role
Working closely with the Director, you will help ensure the office runs smoothly and that our families receive a high standard of customer service.
No two days are the same, and the successful applicant will enjoy a varied role with plenty of opportunity to grow within the organisation.
Main Duties
- Respond to parent enquiries by telephone, email and WhatsApp.
- Manage bookings and update our online systems.
- Prepare invoices and receipts.
- Monitor payments and politely follow up outstanding balances.
- Prepare registers and daily paperwork for sessions.
- Maintain children's records and confidential files.
- Organise and maintain electronic filing systems.
- Answer the office telephone and take messages.
- Arrange meetings and appointments.
- Assist with staff recruitment, interviews and onboarding.
- Request references and keep recruitment records up to date.
- Order office supplies and equipment.
- Support with general administration and day-to-day office tasks.
- Communicate professionally with parents, schools, local authorities and partner organisations.
About You
We are looking for someone who is:
- Friendly and approachable.
- Highly organised with excellent attention to detail.
- Confident using Microsoft Office, email and online systems.
- Able to work independently and use their own initiative.
- Professional, reliable and trustworthy.
- Comfortable managing several tasks at the same time.
- An excellent communicator with good written and verbal English.
Desirable Experience
Experience in any of the following would be an advantage:
- Office administration
- School administration
- NHS administration
- Charity administration
- Reception or customer service
- Business support or administration
SEND experience is welcomed but not essential, as full training will be provided.
