About the Role:
At Kona Business Solutions Ltd, we help organisations keep their day to day operations organised, responsive, and efficient. Our teams support a range of business functions, coordinating information, schedules, documentation, suppliers, and internal requests so that colleagues can focus on delivering their core responsibilities. We are looking for a Business Support Coordinator who can take ownership of essential administrative and operational processes. You will work closely with managers, employees, clients, and external partners, ensuring that business activities are coordinated accurately and efficiently. This is a high responsibility role for an organised professional who enjoys solving problems, improving processes, and keeping multiple priorities moving forward.
Why Work With Us?
The Environment: Our Alloa office provides a professional and collaborative working environment where colleagues work closely across different business functions. We value clear communication, practical thinking, and a well organised approach to work.
Operational Impact: Business support is central to how our organisation operates. You will have the opportunity to identify inefficiencies, improve internal processes, and introduce practical ways of making everyday work more effective.
Modern Systems: We use contemporary business systems and digital collaboration tools to manage documentation, schedules, reporting, communications, and operational workflows.
Professional Growth: You will work alongside experienced professionals across administration, operations, finance, procurement, and client services, giving you opportunities to broaden your commercial and operational knowledge.
Key Responsibilities:
Business Coordination: Coordinate day to day administrative and operational activities, ensuring requests, tasks, documentation, and deadlines are managed efficiently.
Management Support: Provide reliable support to managers by preparing information, coordinating meetings, maintaining records, tracking actions, and following up on outstanding activities.
Documentation and Records: Maintain accurate business records, reports, correspondence, databases, and internal documentation while ensuring information is easy to locate and up to date.
Process Improvement: Review existing administrative processes and recommend practical improvements that can reduce duplication, improve communication, and increase efficiency.
Stakeholder Communication: Act as a professional point of contact for colleagues, clients, suppliers, and external partners, ensuring enquiries are handled promptly and appropriately.
Scheduling and Coordination: Organise meetings, appointments, internal activities, and business events while managing competing priorities and changing requirements.
Reporting Support: Assist with preparing operational reports, spreadsheets, presentations, and management information for internal review and decision making.
What We Are Looking For:
Experience: 3+ years of experience in business support, office coordination, administration, operations, or a similar professional environment.
Organisation: You are highly organised and comfortable managing multiple deadlines, priorities, and stakeholders without losing attention to detail.
Communication: You can communicate clearly and professionally with colleagues, managers, clients, and external contacts across different levels of an organisation.
Technology: You are confident using Microsoft Office or comparable business productivity tools, including spreadsheets, documents, presentations, calendars, and digital collaboration platforms.
Problem Solving: You are proactive when issues arise and can identify practical solutions rather than simply passing problems to someone else.
Attention to Detail: You take ownership of accuracy and understand the importance of maintaining reliable records, documentation, and business information.
Mindset: You are dependable, professional, commercially aware, and comfortable taking responsibility for keeping business activities organised and moving forward.
Pay: £2,271.00-£3,000.00 per month
