The Role
We are looking for an Estates & Facilities Management Administrator to join our team.
This role requires a highly organised and proactive individual with strong administrative, communication and coordination skills, ideally within an estates & facilities or higher educational environment.
Main responsibilities:
Provide administrative support to the Estates & Facilities team
Act as a key point of contact for enquiries, coordinating responses across teams
Support contractor management processes, including compliance documentation and record keeping
Maintain accurate systems, databases and records (e.g. TOPdesk ticketing system and compliance spreadsheets)
Assist with planned and reactive logistics coordination
Support health & safety processes, including documentation, reporting and tracking actions
Contribute to the smooth day-to-day running of Estates & Facilities operations
Key skills:
Strong organisational and time management skills, with attention to detail
Excellent communication and stakeholder engagement skills
Ability to prioritise and manage multiple tasks effectively
Proficient in Microsoft Office and administrative systems
Experience working in a facilities & estates, or similar operational environment (desirable)
Awareness of health & safety and compliance requirements (desirable)
The Candidate
The ideal candidate will be a well-organised and motivated administrator with a proactive approach and a strong customer service mindset.
You will be comfortable working in a fast-paced environment, managing competing priorities and supporting a diverse range of activities across estates and facilities services.
A collaborative approach, problem-solving mindset and the ability to build effective working relationships across the University will be essential.
