About the Role
We're looking for an exceptionally organised, proactive and trustworthy individual to become the Directors' right hand.
This is a varied role combining traditional PA responsibilities with practice administration, client onboarding and general operational support. No two days are the same, you could be coordinating a new client onboarding in the morning, arranging maintenance contractors for the office or home in the afternoon, and ensuring everything is ready for an upcoming business event before the day ends.
You'll be someone who enjoys taking ownership, solving problems before they arise and making sure everything runs smoothly behind the scenes.
Hours of Work
This is a 25–30 hour per week position, worked Monday to Friday. Working hours can be agreed flexibly to suit both the successful candidate and the needs of the business.
Following successful completion of the probationary period, there is the opportunity to work from home for one day per week, subject to business needs and operational requirements.
Key Responsibilities
Personal Assistant Support
- Complex diary management for the Directors
- Booking business and personal travel, accommodation and itineraries
- Managing appointments and reminders
- Email management and prioritisation
- Taking meeting notes and ensuring actions are followed up
- General personal administration and errands
- Coordinating dog grooming, vet appointments and other pet-related arrangements
- Organising birthdays, gifts, cards and special occasions
Practice Support
- Managing office supplies and ordering stationery
- Supporting internal meetings and company events
- Assisting with day-to-day office administration
- Helping improve administrative processes
- Coordinating maintenance, repairs and servicing
- Liaising with contractors and tradespeople
- Obtaining quotes and arranging appointments
- Managing routine maintenance schedules
- Providing general support to the wider team where required
Client Onboarding (Full Training Provided)
- Welcoming new clients into the practice
- Carrying out AML and identity checks
- Requesting professional clearance and information from previous accountants
- Setting up clients on internal systems
- Preparing engagement documentation
- Setting up billing arrangements
- Ensuring clients enjoy a smooth onboarding experience
Essential
- Previous PA or Executive Assistant experience
- Experience using Microsoft 365, Word & PowerPoint
- Full UK driving licence and own transport
- Exceptional organisational skills
- Ability to manage multiple priorities simultaneously
- High attention to detail
- Excellent written and verbal communication
- Strong IT skills and confidence learning new software
- Friendly, professional and personable
- Highly trustworthy and able to deal with confidential information
- Self-motivated with the ability to work independently
- Comfortable around dogs and happy to assist with pet-related tasks
- Smart, professional appearance
Desirable
- Experience within a professional services environment
- Experience coordinating contractors or property maintenance
- Knowledge of client onboarding or AML processes
- Experience using AI tools such as Claude

Pay: £14.35-£15.38 per hour
