Job Overview
We are looking for a highly organised and adaptable person to lead on co-ordinating our venue. The postholder will need great customer service skills, strong organisational ability, and excellent IT skills, especially Microsoft 365. The postholder will ensure the building is vibrant, safe and welcoming for customers, hirers, partners and artists overseeing processes to support this.
Job Objectives
- Ensuring the venue is properly staffed during opening hours with clear communications with all staff and volunteers
- Setting a high standard for customer care and ensuring this is maintained
- Ensuring the building is compliant with health and safety requirements, ensuring all checks and inspections are logged and reviewed
- Managing building maintenance and repair requirements from identification through to solution
- Managing box office
- Maintaining contacts and relationships with hirers and rural touring partners
Responsibilities
Venue Service Delivery
- Maintaining the staff guidance documentation for key processes
- Creating and circulating staff rotas
- Supporting the volunteer manager so that our volunteers feel empowered, valued, and can operate confidently
- Ensuring we have clear communications between the arts centre, café, and volunteers
- Setting a high standard for customer care and ensuring this is maintained
- Setting a high standard for accessibility and ensuring the venue is responsive to the needs of a diverse range of customers
Facilities Management
- Managing any maintenance tasks, either through liaising with the Administration and Business Manager, or making necessary arrangements
- Keeping log of compliance and flagging any issues with the Administration and Business Manager (e.g. of inspections and servicing, and licences)
- Ensure regular checking of health and safety areas such as accident reporting, fire, legionella, and physical accessibility and ensure all activity is logged
- Maintain first aid boxes throughout building
- Managing the Cleaner
Box Office
- Manage Box Office email and lead on response to customer contacts and enquiries
- Manage lost property, recycling, and ensure necessary office and cleaning supplies are ordered
- Ensure box office staff and volunteers are up to date with necessary training, helping design and deliver where required
- Support event evaluation by running reports from the box office system and keeping data on non-ticketed events
- Managing the Box Office Duty Managers (currently 2)
- With team, ensure the Friends scheme operates smoothly
Venue Partnerships
- Create and maintain hirer contacts and information using appropriate software
- Maintaining strong relationships with regular hirers
- Ensure periodic review of hirer requirements, emergency evacuation and similar procedures, and adherence to our policies around safeguarding
- Keep a spreadsheet of rural touring promotors/venues and keeping relationships flourishing
General
- Support the team with administrative tasks when required
- To attend regular team and relevant external meetings, as required.
- To undertake all other appropriate duties for the effective co-ordination and delivery of the organisation’s work
- To carry out CPD opportunities as and when necessary
- To contribute to venue duties, such as opening up and closing down.
- To undertake other tasks as directed by the Director

About You - Person Specification
Essential:
- English and Mathematics qualifications at GCSE level 4 or higher
- Proven skills in a range of IT packages, at ICDL Level 2 (Core and Extra) or equivalent experience
- Track record of work which is methodical, with excellent attention to detail and problem-solving skills, ideally in rota preparation, venue diary management, and general administration
- Strong written skills to aid production of staff guidance manuals, training materials, and communication generally
- Strong customer service and relationship building experience
- Demonstrable experience supporting others to reach and maintain agreed standards
- Independent, motivated worker with excellent time management
- Able to work well under pressure and on your own
- Appreciation of equality and diversity needs of customers, visiting artists, colleagues and volunteers
- Some previous experience of managing people OR a desire to move into a supervisory role
Desirable:
- Use of online applications (e.g. ticket booking, venue hire software, data reporting websites)
- Experience working in a multi-disciplinary team
- Experience managing staff and volunteers
- Knowledge of health and safety and compliance tasks relevant to a public building
- Knowledge and experience of ensuring maintenance and repairs are evaluated and prioritised accordingly
- Experience working with people of all ages
- Experience of administrating programme delivery
- Interest in the arts
- Experience in the charitable sector.
Terms & Conditions:
Working hours
30 hours per week excluding meal breaks. This role may require some work at evenings and weekends. The hours pattern we anticipate is 9.30am - 2.30pm weekdays plus either one rotating 5-hour duty management support evening or Saturday per week to ensure contact is maintained across the whole of The Pound's working week. We are open to discussion about this pattern. There is no paid overtime, we operate a TOIL system.
Contract and salary
Permanent, subject to a three-month probationary period. £24,784.50 per annum (pro rata). Salaries are paid monthly in arrears by BACS on the final working weekday of each month.
Location
The main place of work is The Pound Arts Centre in Corsham.
Holidays
The annual holiday entitlement is 28 days including statutory bank holidays, with an additional three days at Christmas when the building is closed. This rises to 32 days after five years. This allocation will be pro rata for the post. You also receive an additional day off on the nearest working day to your birthday.
Notice period
Two months.
