Overview
We are looking for a highly organised, proactive and dependable Personal Assistant to support our Director in managing the day-to-day operation of the business.
The Director oversees multiple departments, including Sales, Purchasing, Marketing, Warehouse Operations, Human Resources and Accounting. The successful candidate will help coordinate priorities across these functions, maintain clear communication and ensure that important tasks, decisions and deadlines are followed through.
This is a varied and trusted position suited to someone who enjoys working in a fast-paced environment and can handle confidential or commercially sensitive information with discretion.
Responsibilities
- Assisting the director to deal with sales enquiries and following up with clients.
- Generating the sales related paperwork and booking delivery.
- Liaising with suppliers to process the order and production follow-up.
- Arranging international shipping to book seafreight and airfreight shipments with freight forwarders.
- Preparing reports, presentations, meeting agendas, and briefing materials.
- Maintaining accurate records, filing systems and confidential documents.
- Helping coordinate projects and ensure agreed actions are completed on time.
- Monitoring action points, deadlines and priorities on the Director’s behalf.
- Gathering departmental updates and preparing concise reports for the Director.
- Arranging travel, accommodation and itineraries when required.
- Providing general administrative and operational support as required.
Qualifications
- Previous experience as a Personal Assistant, Executive Assistant, Office Manager or Operations Coordinator is preferred.
- Highly organised, with excellent attention to detail and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with QuickBooks or similar accounting software.
- Prior office experience involving data entry, clerical tasks, and document management.
- Professional fluency in spoken and written Mandarin Chinese and English.
- Fast typing skills with high accuracy; ability to handle multiple priorities efficiently.
- Strong organizational abilities with a proactive approach to problem-solving.
