We are a rapidly growing air conditioning company specialising in both domestic and commercial air conditioning installations across the UK. We’re looking for a motivated, organised and customer-focused Office & Operations Coordinator to become a key part of our team.

The Role
No two days will be the same. You’ll be responsible for keeping the office running efficiently while supporting customers, engineers and management.
Your responsibilities will include:
- Answering incoming customer enquiries via telephone and email.
- Providing excellent customer service and maintaining regular communication with clients.
- Scheduling engineers and managing daily workloads.
- Coordinating subcontractors and ensuring work is organised efficiently.
- Managing office systems and maintaining accurate records.
- Ordering materials, equipment and consumables.
- Monitoring and managing stock levels.
- Liaising with suppliers regarding orders and deliveries.
- Supporting the preparation of quotations, invoices and general administration.
- Assisting with project coordination and ensuring jobs progress smoothly.
- Helping to improve internal processes as the business grows.
About You
We’re looking for someone who is highly organised, proactive and enjoys working in a busy environment.
Essential:
- Previous office administration or office coordination experience.
- Excellent communication and customer service skills.
- Confident speaking with customers over the phone and by email.
- Strong organisational and time management skills.
- Good IT skills, including Microsoft Office 365.
- Ability to work independently while managing multiple tasks.
- A positive attitude with a willingness to learn.
Desirable (but not essential):
- Experience using ServiceM8.
- Experience using Xero accounting software.
- Experience working within a construction, engineering or trades business.
- Experience coordinating engineers, field staff or subcontractors.
