Rotech is a technology-driven group of companies providing innovative products to the oil & gas, renewables, decommissioning and energy industries from our headquarters in Aberdeen. As part of our ongoing recruitment and staff development programme, we are looking to employ Subsea Administrator.
We are looking for an enthusiastic, driven, individual who is willing to learn and can work well both independently and within a team, supporting the Operations Department with equipment certification, offshore training bookings and certification tracking ensuring that all employees are fully compliant, trained and ready for mobilisation.
RESPONSIBILITIES:
· Maintain and update personnel records, ensuring certification, medical and training information is accurate and current.
· Monitor certification and training expiry dates, proactively arranging renewals to maintain compliance.
· Prepare documentation packs for client and project requirements.
· Input, verify and maintain data across company tracking systems, ensuring records are complete and accurate.
· Maintain the Equipment Tracker, ensuring certification, inspections and asset information are recorded and updated.
· Arrange drug and alcohol screenings as required and maintain confidential records.
· Process employee expense claims, ensuring compliance with company policies.
· Assist with travel bookings, including flights, accommodation and ground transport when required.
· Support visa and work permit applications, maintaining accurate documentation and monitoring progress.
· Produce reports and provide administrative support to the Operations team as required.
· Provide administrative support across the wider department during periods of annual leave or increased workload.
KEY SKILLS:
· Previous experience in an administrative, compliance, certification or data management role is desirable.
· Excellent data entry skills with a high level of accuracy and attention to detail.
· Strong organisational skills with the ability to manage multiple tasks and deadlines.
· Confident using Microsoft Office, particularly Excel, and comfortable working with databases and tracking systems.
· Strong written and verbal communication skills.
· Ability to work independently while contributing effectively as part of a team.
· Proactive approach with good problem-solving skills and the ability to use initiative.
