We are looking for an exceptional Executive Assistant to provide comprehensive support to the Company Directors & Chairman.
This is a varied, fast-paced and hands-on role that requires someone who is highly organised, proactive and able to work independently. We are looking for someone who can think ahead, anticipate needs, solve problems and take ownership of tasks without needing constant direction.
The successful candidate will become a trusted extension of the Directors, helping to keep the business organised, ensuring actions are followed through and supporting projects across all areas of the company.
Due to the nature of the role, the successful candidate will have access to confidential company information and Directors' email correspondence and must demonstrate the highest levels of professionalism, integrity and discretion.
No two days are the same at St Andrews Lakes, so flexibility, initiative and a positive attitude are essential.
Key Responsibilities
Director Support Responsibilities
- Manage and maintain Directors' diaries, appointments and meeting schedules.
- Monitor and manage Directors' email inboxes, ensuring important correspondence is prioritised and responded to where appropriate.
- Draft emails, letters and correspondence on behalf of the Directors.
- Organise meetings, appointments, travel arrangements and company events.
- Prepare agendas, presentations, reports and meeting documentation.
- Keep track of actions, deadlines and outstanding tasks, ensuring the Directors are reminded and commitments are followed through.
- Coordinate and chase information from managers and department heads on behalf of the Directors.
- Act as a gatekeeper, filtering enquiries and directing matters appropriately.
- Anticipate the needs of the Directors and proactively manage priorities.
- Handle highly confidential and sensitive information with absolute discretion.
Administrative & Business Support
- Prepare documents, reports, presentations and company communications.
- Maintain accurate filing systems and company records.
- Support with company policies, procedures and documentation.
- Assist with insurance renewals, licences and business administration.
- Conduct research and gather information to support decision-making.
- Produce reports and analyse information when required.
- Assist with the administration of various company systems and processes.
- Support with general office administration and ensure the smooth running of day-to-day operations.
Project & Operational Support
- Assist with the implementation and coordination of business projects.
- Follow up actions and deadlines on behalf of the Directors.
- Liaise with managers and department heads to ensure actions are completed.
- Support with company meetings, events and staff communications.
- Identify opportunities to improve systems, processes and efficiencies across the business.
- Assist with ad-hoc operational matters and problem-solving as required.
