Hours: Part-time, flexible 10–20 hours per week
Pay Structure: £25.00 per hour flat baseline rate + 5% net commission on completed bookings from new customers
1. Role Overview
We are seeking a commercially minded, details-oriented, and highly polished Executive Assistant to actively support a dynamic, creative Professional Variety Entertainer (PVE). The PVE performs in exclusive, high-end environments, primarily via one-off bookings for different corporate events, luxury venues, and Ultra-High-Net-Worth (UHNW) private clients across London.
This role acts as the PVE’s frontline business manager and operational backbone. You will split your time between remote digital administration and providing varied on-site, hands-on assistance to the PVE before, during, and after events.
2. Key Responsibilities
A. Full Event Cycle & Booking Management
- Inbound Management: Monitor and respond to booking enquiries across emails, texts, and social media and online listings.
- Quoting & Contracting: Quote and follow up via established templates, raise contracts, and issue invoices via an integrated CRM system.
- Account Separation: Efficiently manage existing repeat clients while researching, converting and onboarding completely new client accounts.
- Talent Placement: Subcontract bookings to the PVE’s trusted network of alternative performers when the PVE is unavailable, or when clients request multiple or alternative entertainers.
- Full-Cycle Execution: Manage the entire client journey from initial query to post-event thank you messages and feedback collection.
B. Diary, Admin & Travel Logistics
- Calendar Control: Maintain full diary and inbox control, keeping Google calendar up to date at all times and synced with multiple online event entertainment platforms
- Travel Logistics: Coordinate and schedule the PVE’s meetings, personal appointments, taxis and travel.
- General Administration: Proactively oversee online filing, proofreading, note-taking, subcontractor registrations, phone diversions, and maintain meticulous control over administrative requirements (insurance, GDPR, legal, memberships, HMRC, terms & conditions, risk assessments, etc).
C. Creative, Asset & Content Maintenance
- Asset Maintenance: Ensure performance props and show costumes are kept meticulously tidy, organised, and ready for immediate use. Sourcing new items as needed.
- Content Preservation: Capture and assist with basic photo and video editing of live performances and behind-the-scenes footage, organising media ready for showreels and quotes.
3. Required Skills & Qualifications
- Status & Setup: Registered self-employed with HMRC. Must possess your own laptop, webcam, reliable internet connection, and a private workspace.
- Industry Experience: Minimum 3+ years of experience as a PA, Booking Coordinator, EA, or Agent within the entertainment, events, luxury hospitality, or UHNW sectors.
- Impeccable Communication: Perfect, well-spoken, business-level written and spoken English to represent a premium brand to high-end corporate and luxury buyers.
- Technical Proficiency: Fluent in Google Workspace, Excel, Slack, Zoom, and Dropbox. Competent with, or able to quickly learn: Canva, Xero, WIX, Stripe, Buffer, various social media platforms including TikTok and our bespoke Event Entertainment CRM system.
- Discretion: Discrete and confidential in all interactions, with prior experience handling sensitive client data
- Transit (Preferred): A full UK driving licence is ideal but not essential.
