We are a well-established and growing Independent Financial Advice firm committed to delivering exceptional service to our clients. We are looking for an organised and proactive IFA Administrator to join our team and support our Financial Advisers in providing high-quality financial planning services.
The Role
As an IFA Administrator, you will play a key role in supporting our advisers and ensuring a smooth client journey from initial enquiry through to policy implementation and ongoing servicing.
The successful candidate will be highly organised, have excellent attention to detail, and be committed to delivering outstanding client service.
Key Responsibilities
- Providing administrative support to Financial Advisers and Paraplanners.
- Preparing client review packs and meeting documentation.
- Processing new business applications and monitoring progress through to completion.
- Liaising with clients, providers, and third parties to obtain information and resolve queries.
- Maintaining accurate client records and updating back-office systems.
- Producing suitability report packs and supporting documentation.
- Managing adviser diaries and arranging client meetings.
- Processing withdrawals, fund switches, and other client servicing requests.
- Ensuring all work is completed in line with FCA regulations and company procedures.
- Assisting with client annual reviews and ongoing servicing requirements.
- Handling incoming calls and correspondence professionally and efficiently.
Skills and Experience
Essential
- Previous experience in an IFA, financial planning, wealth management, or financial services administration role.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
- Ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
Desirable
- Experience using Intelligent Office, Xplan, Salesforce, or similar financial services CRM systems.
- Knowledge of pensions, investments, protection, and financial planning products.
- Relevant Financial Planning qualifications.
- Understanding of FCA regulations and Consumer Duty requirements.

Pay: £25,000.00-£30,000.00 per year
