Job Summary
We are seeking a highly organised and detail-oriented office assistant to join the Uncharted Whisky team. The successful candidate will play a key role in ensuring the smooth operation by carrying out the day to day operations of a the office of small whisky business. This position requires a super organised nature, strong computer skills, excellent phone etiquette, communication skills and the ability to manage multiple tasks efficiently.
This is a flexible part time job with hours variable depending on seasonality and workload. You will be able to adapt your hours to suit you provided that all tasks are completed in a timely way and to high degree of quality.
Responsibilities
- Provide administrative support to various sectors of the business.
- Manage incoming emails, messages, and calls and respond to inquiries with friendly professionalism.
- Maintain accurate records, due diligence procedures, and perform data entry tasks
- Organise and liaise with third parties and contractors
- Handle clerical duties including filing, invoicing, managing correspondence.
- Support financial operations by using Xero for invoicing and bookkeeping tasks
- Organise meetings, schedule appointments, and manage calendars for team members
- Support event organisation
- Managing sample distribution and postage including packing boxes and dropping at the local post office.
- Assist with social media and customer enquiries.
- You will be a office keyholder.
Qualifications
- Previous experience of Canva and other design software is beneficial.
- Proficient in Microsoft Office Suite (Excel, Outlook, Teams) and other online tools such as Zoom.
- Strong typing skills with attention to detail for data entry tasks
- Excellent organisational skills with the ability to prioritise workload effectively
- Demonstrated phone etiquette and interpersonal skills for effective communication
- Familiarity with Xero is advantageous but not mandatory
- Familiarity with Instagram and/or Facebook.
- Previous clerical experience is desirable
